Media Library and Upload Limits

Learn all about the Ivorey™ media library and access our step-by-step instructions, FAQs, and everything you need to know!

Before You Dive In

The Media Library is your central hub for managing and organising all your media files. It lets you upload, preview, organise, and insert media efficiently, all in one place.

This guide is perfect if you want to:

  • Access your Media Library in Ivorey™

  • Upload files or folders from your device, or images directly from a URL

  • Preview your files without leaving Ivorey™

  • Make quick edits to your images using the built-in editor

  • Sync Google Drive and Canva with your Media Library

  • Understand our file upload limits for different file types​


Navigate Your Media Library

Before diving into uploading and organising your files, get familiar with the tools available across the top of your Media Library. These let you switch between your own files and stock libraries, search and filter, and keep an eye on your storage.

  1. From the main Ivorey™ menu, go to Media Library

  2. Click the [My Media] drop-down in the top-left corner, to switch between your media files and the other stock libraries:

    1. All - view files across every library at once

    2. My Media - your own uploaded files

    3. Backgrounds - stock library of background colours, gradients and textures, built into Ivorey™

    4. Unsplash or Pixabay - free stock photo libraries, directly integrated with Ivorey™

    5. Canva - if you've connected your Canva account, find any shared designs. Refer to our Canva Integration guide for the detailed steps

  3. Use the search bar at the top of the Media Library to search your entire library, including stock images

  4. Click the [Modified: Newest First] drop-down to change how your files are sorted

  5. Click the [All] drop-down, in the top right, to filter by file type (All, Photos, Videos, Audio, Docs, Other)

  6. Use the grid or list view icons in the top right corner, to switch how your files are displayed

  7. Click the three dots [⋮] in the top-right corner of the Media Library:

    1. Select [Trash] to view and restore any recently deleted files

      Note: Items in trash will be deleted forever after 30 days.

    2. Select [Storage] to see your total storage used

      Note: There is no storage cap on your Media Library, but this is handy if you want to know the full size of your file storage (e.g. before exporting everything).

  1. Click the ✨ sparkle icon in the top-right corner, to open Content AI so you can create images without leaving your Media Library

    Note: This feature is a paid service and will incur charges based on your usage. Please refer to our Content AI guide for the detailed steps.


Upload Files to Your Media Library

You can add files to your Media Library one at a time, as a whole folder, or by importing an image straight from a public URL. Choose whichever method suits how your files are already organised.

Upload Individual Files or Folders From Your Device

  1. From the main Ivorey™ menu, go to Media Library

  2. Click the [Upload] button in the top-right corner > and select [Upload File] or [Upload Folder]

  3. Choose the file/folder you want to upload from your device > and wait for the upload to finish

    Note: When uploading a folder, Ivorey™ will keep its folder structure intact, including any nested subfolders. Folder uploads support up to 3 levels of nested folders, and up to 1,000 files per upload.

  4. (optional) Drag and drop your files/folders directly into the Media Library to upload them instantly (including a mix of folders and individual files together)

A progress panel shows how many items are uploading, how much has transferred, and how many files were skipped, so you can keep track of larger uploads.

Upload Media from a URL

If an image is already hosted online (e.g. on a CDN or stock photo site), you can add it to your Media Library directly from its URL, without downloading it to your device first.

This option currently supports direct file links only (.jpg, .png, .mp4 etc.). Links to YouTube, Vimeo, or Loom pages aren't supported.
  1. From the main Ivorey™ menu, go to Media Library

  2. Click the [Upload] button in the top-right corner > and select [Upload from URL]

  3. Paste in the URL of the image/video > and review the preview and details - Ivorey™ automatically detects the file name and dimensions from the source URL

  4. Confirm that you have permission to use the image/video > and click [Import]

  5. Your image/video will be saved to your currently open Media Library folder and can be used just like a standard upload


Sync Google Drive With Your Media Library

Syncing Google Drive lets you manage all your essential files from within Ivorey™ without switching platforms.

  1. From the main Ivorey™ menu, go to Media Library

  2. Click the [Connect Drive] button in the top-right corner > and follow the prompts to log in to your Google account and grant Ivorey™ permission to access your Drive

  3. Once connected, your Google Drive files will appear within the Media Library > from here, you can:

    1. Drag and drop files to import them into the Media Library

    2. Organise files into folders

    3. Preview media directly in Ivorey™

    4. Delete files from Ivorey™, which also removes them from the connected Drive folder​


Preview and Organise Your Media

Before using a file, you can preview it directly inside your Media Library, without needing to download it first. You can also keep larger libraries tidy by moving files into folders.

Preview Your Files

Ivorey™ supports inline previews for a wide range of file types, so you can check a file is right before you use it.

  1. From the main Ivorey™ menu, go to Media Library > and find the file you want to preview

  2. Click the three dots [⋮] on the file > and select [Preview]:

    1. Images - open your image in [⛶] fullscreen > zoom in using the 🔍 magnifying glass icon, your mouse wheel, or pinch gesture (from 100-400%) > and click and drag to pan around while zoomed

      Note: Use the [⋮⋮⋮] drag dots to move the tool bar around the screen, if it’s obstructing the view of your image.

    2. Videos - play your video directly in preview mode > adjust the 🔊 volume, [1x] playback speed, or open in [⛶] fullscreen

    3. Audio - listen to your audio directly in preview mode > adjust the 🔊 volume > or click the [⋮] three dots to [Download] or adjust [Playback Speed]

    4. Documents - view CSV files directly in preview mode > and click [Open in new tab] to view PDF files

      Note: Not every file type can preview inline. If a file can't be previewed, it will need to be downloaded instead.

  3. At the bottom of each file in preview mode:

    1. View the file type, name, size, dimensions/duration/pages/rows, and the date it was uploaded

    2. Click the [⟳] refresh arrows > and click [Replace] to upload a new version of the file

      Note: If the media is being used anywhere in the account (e.g. in an email, funnel, form, etc.) replacing it may affect your design. Always review after replacing a file.

    3. Click the [↓] down arrow to download the file to your device

    4. Click [Copy Link] to copy a shareable link to the file - learn more about shareable links below

  4. Use the arrow buttons, or the left and right arrow keys on your keyboard, to move between files without closing the preview

  5. Click the [X] close button in the top right corner, or the Esc key on your keyboard, to exit preview mode


Manage Your Folders

Keep your files organised with folders and subfolders.

  1. From the main Ivorey™ menu, go to Media Library > and click the 🗂 folder icon in the top right corner, to create a new folder:

    1. Input the folder’s Name > and click [Save]

  2. Click the [⋮] three dots on any file or folder to move it into a folder > click [Move to Folder] > select an existing folder or create a [New Folder] > and click [Move here]

  3. Your folders will display at the top of your Media Library, open any folder to view its files or to create a subfolder within

  4. Use the navigation path, in the top left corner, to go back to parent folders or click [Home] to return to the main Media Library

  5. You can download a whole folder as a single ZIP file, so you can save a complete set of files at once - click the [⋮] three dots on any folder > click [Select] > click the [↓] down arrow in the top right corner > and click [Download]


Edit Images with the Built-In Image Editor

You don't need an external design tool for basic edits. The Media Library includes a built-in image editor, so you can make quick adjustments without leaving Ivorey™.

The image editor currently supports PNG and JPEG files, and edits are made one image at a time. It's also currently available on desktop only, though any edits you save will still appear correctly in the mobile app.

  1. From the main Ivorey™ menu, go to Media Library > hover over the image you want to edit > click the three dots [⋮] in the top corner > and select [Edit]

  2. From inside the editor, you can:

    1. Crop your image using a custom size or a pre-set aspect ratio

    2. Flip your image horizontally or vertically

    3. Apply a filter from the available options

    4. Adjust the brightness, contrast, saturation, and blur

    5. Add text, and customise the font family, size, alignment, colour, background colour, and line spacing

    6. Add stickers (emojis or shapes), and adjust their opacity and colour

    7. Use the brush tool to draw directly on the image, adjusting hardness, size, and colour

    8. Use Undo and Redo to step back and forward through your edits

  3. Click the [Save] button > Name your image > choose a Folder to save it to (optional) > and click [Save] again to store it in your Media Library as a new image

Generate Shareable Links for Files

You can share or integrate files stored in the Ivorey™ Media Library into other platforms, using shareable links.

  1. From the main Ivorey™ menu, go to Media Library > and find the file you want to share

  2. Click the three dots [⋮] on the file > and select [Get link] to generate the file's shareable URL

  3. Paste this URL into the external platform, to seamlessly integrate the media


Ivorey™ File Upload Limits

There is no overall storage limit for your Ivorey™ Media Library. However, there are file upload limits you should take into consideration.

Frequently Asked Questions

When I attach a file’s shareable link to a button, it doesn't open properly or seems blocked. Why is this happening?

This issue is typically caused by a large file size. If your PDF exceeds 20MB, third-party email softwares (like Gmail or Outlook) or mobile browsers may block the direct download/access link for security and performance reasons.

To resolve this and ensure a smooth experience for your leads, we recommend using a PDF compressor to reduce the file size to below 20MB. This ensures it loads quickly and avoids being flagged by security filters.

How can I manage media files effectively?

Managing media files in Ivorey™ efficiently is essential for organised content delivery. Here are some best practices:

  • Regularly review and update media files to ensure they are relevant

  • Use descriptive file names for easy identification

  • Store files in relevant folders with clear names

Do I need permission to use an image I import from a URL?

Yes. When you import an image using a URL, you'll be asked to confirm you have the right to use it before it's added to your Media Library. Only import images you have permission to use.

Can I edit images using the mobile app?

Not yet. The built-in image editor is currently available on desktop only. Any edits you make on desktop will still appear correctly in the mobile app once saved.

Can I edit multiple images at once in the built-in editor?

No. You'll need to open and edit images one at a time.
