How to Set Up Workflows for Forms

In Ivorey™, you can create specific automations based on your form responses. Using Workflows, you can automatically assign tags depending on their answers, send tailored confirmation emails, and segment your contacts into smart lists for targeted communication. After this, you’ll be able to use forms not just to collect information, but to streamline your marketing and client processes.

Note: When you have created a form that has a question where people can tick/select their answer/option, and you want to create a specific set of automations/actions depending on what they selected in your form, you will need to create a workflow using the action 'if/else' action.​

This allows you to create separate branches within the same workflow, where you will be able to add your contacts to a specific email sequence, or add tags to their contact profile, based on what they answered or selected when submitting your form.

Click here for the written steps

  1. From the Ivorey™ main menu, go to Workflows > then click [+ Create Workflow] > and select [+ Start from Scratch]

  2. Rename your workflow (e.g. your form name: submitted), at the top of the page > click on [+ Add New Trigger] > select [Form Submitted] > then click [+ Add Filters]

    1. From the first drop-down menu, select 'Form is'

    2. From the second drop-down menu, select your customised form

    3. Click [Save Trigger], at the bottom right

  3. Click the [+] icon under your trigger > search for and select the [if/else] action, to create your first branch:

    1. From the first drop-down menu, select [Contact Details] > then scroll through the list to find the question you created in your form, where people can select their option/answer

    2. From the second drop-down menu, select [is]

    3. From the third drop-down menu, select the first answer/option to the question

    4. Rename this branch to match the answer, for easy differentiation

    5. Click the [+Add Branch] button

    Repeat this step, selecting your next answer/option, until you have created a branch for each one.

    Note: The if/else condition will always add a branch for when none of the conditions are met.

  4. Now you can begin building the specific actions and automations you want to trigger, under each branch or answer selected. Here are some examples of actions you might want to use:

    1. Add Tag - if you want to tag contacts who submitted a form, or specifically based on their branch

    2. Send Internal Notification - if you want to be notified of the form submission

    3. Add Task - if you want to create a task for yourself or your team member to review and respond to the submission

    4. Send Email - if you want to send a confirmation email once someone submits a form, or a tailored email based on their answers

    Note: If you have automations/actions that you want to trigger for everyone that submits your form, regardless of their branch, you will need to add these above the if/else condition in the workflow.

  5. When you have finished building your workflow, toggle it to [Publish], at the top right of your screen > and click the [Save] button

  6. Complete a test form submission to test if your workflow fired correctly > check the [Execution Logs] tab to see if there were any errors
