Learn all about tracking and adding event attendees, and access our step-by-step instructions, FAQs, and everything you need to know!

Before You Dive In

This article is one step from our Master Help Guide: All About Events. We recommend starting with the visual walkthrough video and examples inside the Master Help Guide before diving into the technical breakdown below.

Each Master Help Guide acts as your project plan - teaching you the feature, laying out the steps in the right order, and linking to every resource you’ll need along the way.

This guide is perfect if you want to:

  • See who has registered for your event at a glance

  • Keep track of tickets issued and ticket revenue

  • Register walk-ins, phone bookings, and complimentary guests yourself

  • Record payments you've received outside Ivorey™ such as cash or bank transfer

  • Capture the details of every person in a group booking

Manage Your Event Registrations

Every registration for your event, whether it came through your event page or was added by your team, is kept together in one place. From here, you can track your numbers, find individual attendees, and make changes when plans change.

Step 1: Review and Find Your Registrations

Your registrations list gives you a live view of who is coming to your event and how your ticket sales are tracking.

Click here for the written steps
  1. From the main Ivorey™ menu, go to Courses > [Events] > and open the event you want to manage

  2. Your event opens on the [Overview] tab, where your latest registrations display under Recent Registrations. Click [View All], or click the [Registrations] tab along the top, to open your full list

  3. At the top of the page, you'll see a summary of your event:

    1. Registrations - the total number of registration records for your event

    2. Tickets - the total number of ticket seats issued

    3. Revenue - the total amount from paid ticket sales

  4. Each registration in your list shows the Registrant (name and email), their Tickets (number and ticket type), their Status (e.g. Succeeded), and the date and time they Registered on

  5. To find a specific registration, type a name or email into the [Search name or email] bar > or narrow down your list using the [Status] and [Date range] filters

  6. To choose which details display in your list, click the [Columns] button (e.g. 5/8 Columns) > and tick the checkbox next to each column you would like to show. Alongside the default columns, you can add Payment status, Order ID, and Add-ons, or click Select All (8) to show every column. To change the order of your columns, use the [⋮⋮] drag dots next to a column name

  7. Click on a registrant to open their contact record, where you can view their contact details, conversations, and payments. To return to your registrations, click the [←] back arrow next to Contact Details at the top left

Step 2: Manually Add Event Attendees

Adding an attendee yourself registers them without them needing to complete your event checkout. Their ticket is issued straight away, and they receive the same confirmation email as someone who registered through your event page.

When would I add an attendee manually?

Not everyone will register through your event page. Adding attendees yourself lets you register people on their behalf, while keeping your ticket numbers and attendee list accurate. For example:

  • Walk-ins on the day of your event

  • Bookings taken over the phone or by email

  • Tickets sold offline or through a partner

  • Complimentary tickets for VIPs, speakers, or special guests

Click here for the written steps
  1. From the main Ivorey™ menu, go to Courses > [Events] > and open the event you want to manage

  2. Click on the [Registrations] tab along the top > and click [+Add Attendee] at the top right-hand corner of your screen

Note: For RSVP events, there are no tickets or payments to select. Under Billing information, use the Search contacts by name or email dropdown to select your contact > and click [Add Attendee]. Steps 3 to 6 below are for Ticketed events only.

  3. On the Tickets step, use the [+] and [-] buttons to set the quantity for each ticket type you would like to add (you can add more than one ticket type) > and click [Continue]

Note: You can add attendees even when your tickets have sold out, which is helpful for VIP guests or last-minute requests.

  4. On the Attendees step, click on each ticket to add the attendee's details:

    1. Ticket 1 is the buyer and is labelled BUYER. Use the [Search contacts by name or email] dropdown to select an existing contact, and their first name, last name, and email address will fill in automatically.

If this contact does not exist on record, you can fill the details in and click [+Add new contact] at the bottom

Note: New contacts are added to your Contacts and linked to their event registration, so their details are ready to use for future marketing and event invitations.

    2. For each additional ticket, select an existing contact, or use the Copy data from dropdown to reuse the details of another attendee in this registration

    3. Complete any remaining fields, such as Timezone and any custom fields you've added to your checkout form

  5. Click [Continue] to move to the Payment step, where you can review the order summary. If you would like to apply a discount, enter it under Coupon code > and click [Apply]

  6. Complete the registration, depending on the tickets you've selected:

    1. Free tickets - no payment is required. Click [+Add Attendee]

Note: To offer a complimentary ticket, select a free ticket type in step 3

    2. Paid tickets, charged to a card - click [Charge a card] > select a saved card, or click [Add a new card] and enter the card details > and click [Add & charge]

Note: To charge a card, you'll need a payment processor (e.g. Stripe) connected to your Ivorey™ account. Head to our Set Up Your Payment Processor guide for the steps. If your event is still in test mode, a TEST MODE label displays above the card details, and no real payment is processed. You can change this in [Settings] > under [Payments] > toggle Live Mode ON

    3. Paid tickets, paid outside Ivorey™ - click [Record manually] > select the Payment method used (Cash, Card, Cheque, Bank transfer, or Other) > add an Internal note about the payment (e.g. paid in cash at the front desk) > and click [Add & record payment]

  7. The ticket is issued instantly with a QR code for check-in, a confirmation email is sent to each attendee automatically, and the registration appears in your registrations list straight away

Automatically Register Contacts for Your Event (optional)

If you're already capturing leads in Ivorey™ through a form or landing page, you can register them for your event automatically. This connects your lead generation directly to your event registrations.

Add an event Register action to your existing opt-in or form submission workflows:

  • Register for Ticketed Event - for events with free or paid tickets

  • Register for RSVP Event - for events that don't require tickets

Step 3: Refund or Cancel a Registration

When an attendee’s plans change, you can refund their registration in full or in part, cancel it, or do both. Head to our Manage Event Refunds, Cancellations and Eligibility guide for the step-by-step instructions.

How Group Registrations Work

When someone buys more than one ticket in a single checkout, Ivorey™ collects details for every ticket holder, not only the person paying. This gives every attendee in a group booking their own record, making check-in and communication with each person easier.

  • The buyer is Ticket 1 - the person completing the checkout is automatically the first attendee, and their ticket is labelled BUYER

  • Every extra ticket has its own details - each additional ticket (Ticket 2, Ticket 3, and so on) asks for a first name, last name, and email address, plus any custom fields you've added to your checkout form

  • Details can be copied - buyers can use the Copy data from dropdown to reuse the details of a previous attendee in the same checkout, then edit anything that's different

  • Ticket types can be combined - one checkout can include different ticket types, such as two Early Bird tickets and one Free ticket

Each attendee receives their own confirmation email with their registration details. The buyer also receives an order confirmation that summarises all of the tickets purchased.

As every attendee completes the same checkout fields, keep any custom fields focused on the information you need for each person (e.g. dietary requirements or session choices). This keeps group checkouts quick and easy to complete.

Frequently Asked Questions

Can I copy attendee details from a previous registration or event?

No, you can’t copy attendee details from a previous registration or event. The Copy data from option only works within the same checkout, so attendees can copy details from another ticket in their current order, but not from a separate order or a past event.

Can I collect details for the buyer only?

Collecting details for every ticket holder is a standard part of checkout whenever more than one ticket is purchased. If you only need the buyer's details, limit purchases to one ticket per order.

Can I automatically register leads from my Facebook ads?

Yes, automatically register leads from your Facebook ads. Start your workflow with a Facebook lead ad trigger, then add the Register for Ticketed Event or Register for RSVP Event action, as outlined in Step 2 above. To find the right trigger, refer to our Workflow Triggers guide.
