How To Tag Contacts Who Book Calendar Appointments

As a final and optional step in setting up your calendars, you can create a simple workflow that automatically adds a tag to every contact who books an appointment with you. This keeps your contacts organized and makes it easy to segment clients, build smart lists, and trigger automations in the future.

By tagging contacts as soon as they book, you’ll always have a clear record of which calendar they came from, keeping your backend streamlined and easy to manage.

  1. From the Ivorey™ main menu, go to [Workflows] > click on the [Bonus Workflow Templates] folder > then select the workflow titled 'When appointment is booked > add a tag'

  2. Change the workflow name to the calendar name.

  3. Then update the trigger [Customer Book an Appointment] > by clicking the [Add Filters] button and setting the following filter:

    1. 'In calendar' = Choose your calendar

  4. Next edit the following action [Add Contact Tag]

  5. Here you can either select the tag from the dropdown if you have already created one already, otherwise type in the new tag name e.g. "booked - discovery call" and click the [Add Tag] button on the bottom right of your screen

  6. Add any additional steps that you want to happen after someone books this appointment - for example if you want to send a certain email (outside of your usual notifications already setup inside of your calendar)

  7. Publish the workflow and repeat for each calendar so they each get a unique tag.

Helpful Tip: If you have multiple calendars and you want to create unique tags based on appointment type, create your first workflow and then clone it to save time. For each new workflow, just swap out the trigger and tag.
