This article is one step from our Master Help Guide: All About Events. We recommend starting with the visual walkthrough video and examples inside the Master Help Guide before diving into the technical breakdown below.
Each Master Help Guide acts as your project plan – teaching you the feature, laying out the steps in the right order, and linking to every resource you’ll need along the way.
For you and your team
Every event includes two optional built-in alerts that keep you across your registrations:
New registration alert: Notifies you each time someone registers for your event
Daily summary email: A daily digest of registrations, cancellations, and revenue, sent at 9:00 AM in your event timezone, summarising the day before
For your attendees
Your attendees receive notifications at each key moment of their journey, sent on your behalf:
Registration confirmation: Sent immediately when someone registers
Registration cancellation: Lets attendees know when their registration has been cancelled
Reminder: Sent before your event starts (3 days before, by default) - add as many reminders as you like
Event update notifications: Sent whenever you change your event details, time, or venue
Post-event follow-up: A thank-you message, sent after your event ends (1 hour after, by default)
You can also use workflows to send additional notifications to your attendees, or to you and your team. We’ll cover your event workflows in the next step in the Master Help Guide.
This guide is perfect if you want to:
Send automatic confirmations, reminders, and follow-ups to attendees
Get notified of new registrations and daily event activity
Personalise event messages across email, SMS, and WhatsApp
Every event comes with a ready-made set of notifications, so you're never starting from scratch. You can choose which notifications you want to send, how you want to send them, and customise the message.
From the main Ivorey™ menu, go to Courses > [Events] > and click on the event you'd like to configure notifications for
Click the [Settings] tab along the top > then click [Notifications] in the left-hand menu
Note: You can also open your notifications from the [Overview] tab by clicking [Review], next to Review notifications, in the Finish setting up your event section.
Under Sender Settings, on the right-hand side of your screen, check your From email and From name > and ensure these match your connected email sending domain (e.g. [email protected])
Work your way through the notification options from top to bottom > click the ✏ pencil icon next to each notification to customise it:
Along the top of the editor, click the [Email], [SMS], or [WhatsApp] tab - each channel can be toggled to Enabled or Disabled, so you can choose which channels to send each notification on
Note: You can enable multiple channels per notification, if you prefer. Toggle all channels to Disabled if you don’t want to send that notification at all.
Toggle the notification to Enabled > and write your message:
Email - Update the Subject and Email body, using the editor toolbar to format your text
SMS - Update the SMS body. The character, word, and segment counts below the message box help you keep your text concise
WhatsApp - Review and configure your WhatsApp message
Note: WhatsApp needs to be set up in your Ivorey™ account before you can use it for event notifications. Click Connect WhatsApp > and follow the WhatsApp Integration guide to set this up.
To personalise your message, click the 🏷 tag icon in the editor and select custom values to pull in contact data or event-specific data, including:
Your event details, such as the Name, Summary, Description, start and end dates and times, Timezone, and URL
You can also open Location (for In-person or Online details), Ticket, Order, and Transaction for more specific details
Check how your message looks in the Preview on the right-hand side. If you'd like to start again, click [Reset to default] to restore the original message
Below the message body, choose what to include alongside your message:
Link to the description - Add a button that links to your event, then enter your preferred Button text (e.g. View Event)
Link to create the calendar event - Add a link attendees can click to add your event to their personal calendar, then enter your preferred Link text (e.g. Add to my Google Calendar)
Include PDF ticket in the email - Attach the attendee's ticket as a PDF
Click [Save changes] in the bottom right corner
Note: Double-check your timezone settings on the [Registration] tab, as this will affect your notifications as well.
Attendees can save their ticket to Apple Wallet on iPhone or Google Wallet on Android, so it's ready on their phone when they arrive. Apple Wallet and Google Wallet badges are already included on every ticket PDF, and you can also add wallet links to your registration confirmation messages.
Each ticket in an order receives its own wallet pass, so the right name and ticket type stay with the right person, even in group bookings. Each pass displays:
Event name
Event date and time (in your event timezone)
Venue
Ticket type
Attendee name
The check-in QR code
The QR code on the wallet pass is the same QR code on the attendee's ticket, so your team scans it in exactly the same way at the door.
From the main Ivorey™ menu, go to Courses > [Events] > and click on the event you'd like to configure notifications for
Click on the [Settings] tab along the top > and select [Notifications]
Under Attendee journey, find Registration confirmation beneath WHEN THEY REGISTER > and click the ✏ pencil icon on the right
Select the [Email], [SMS], or [WhatsApp] tab for the message you would like to update > click where you would like the wallet links to appear in your message > click the 🏷 tag icon in the toolbar > search for "wallet" > and select Ticket/ Wallet Links. This adds the {{event.ticket.wallet_links}} merge field to your message
Note: If you would like attendees to receive their ticket PDF as well, keep Include PDF ticket in the email selected.
Click [Save changes] at the bottom right-hand corner of your screen
When attendees open a wallet link or badge, they're prompted to save their ticket to Apple Wallet on iPhone or Google Wallet on Android.
No, currently you can’t customise the design of your event notifications. You can edit the copy of your message using rich text editing, such as bold text, bullet points, and text colours, but there is no option for design elements or uploading images.
However, if you prefer to send fully branded event notifications, you can send customised emails via workflows. Just be sure to toggle off your notifications in the Events builder, so attendees don’t receive duplicate notifications. Refer to our Event Workflows guide for more information.
