The Calendly and Ivorey
integration allows your Calendly bookings to automatically appear in Ivorey
, so you can keep all your appointments in one place, reduce manual admin, and manage your schedule more efficiently.
This guide is perfect if you want to:
Connect your Calendly to Ivorey
The Calendly integration syncs your Calendly bookings into Ivorey
automatically, so you can manage all of your appointments, contacts, and automations in one place. Please review some important details below to understand how the sync works, before getting started.
When you connect your Calendly account, Ivorey
will automatically import all future events, as well as any events created within the last 180 days (at the time of connection)
Going forward, events from Calendly will continue to sync as long as your integration is active and you have selected a calendar
If you ever change your mind and remove a calendar from the connection, events from that calendar won't be synced anymore
If you later decide to reconnect that calendar, only new events you create in it after reconnecting will be synced. Any events you had scheduled while the calendar was disconnected won't be synced
This is a unilateral integration, meaning events are only fetched from Calendly to Ivorey
. Events created in Ivorey
will not be synced to Calendly
Additionally, events synced from Calendly cannot be edited inside Ivorey
- modifications must be made in Calendly for accurate sync
All new events created from Calendly to the system will be treated as appointments and not blocked slots
This means that for each event, if a guest is found, a subsequent contact will be created for the guest(s) in the system, allowing you to run workflow automations on it, just as you would for appointments booked directly through Ivorey
. You can automate follow-ups, send confirmation emails, add tags, and more - all triggered off your Calendly bookings
Ivorey
can import a guest's phone number from Calendly in two ways, depending on how your Calendly form is set up:
If the phone number is entered via the Calendly meeting location field, and there are no phone number fields in your Calendly form, Ivorey
will automatically sync that number to the contact record
If a phone number field exists in your Calendly form (Q&A section), a mapping screen will appear during setup so you can choose which field to sync to the contact record
Note: Any other custom questions captured in the Calendly Q&A section beyond name, email, and phone number will not be synced to the contact record in Ivorey
.
The contact’s assigned user will be updated to match the appointment owner of their latest appointment
If you would like your Ivorey
booking system to check your Calendly calendars for conflicts when showing availability inside your Ivorey
Calendars, you can also connect your Calendly Calendar under the 'Conflict Calendar' settings
By connecting your Calendly Calendar to your Ivorey
Conflict Calendar settings, it means that the Ivorey
Calendar System will check your Calendly calendar (and any other calendar you have connected here) for conflicts and blocked out time on the calendars you've selected, which will determine the availability shown inside your Ivorey

Follow the steps below to link your accounts and start syncing your bookings into Ivorey
.
From the Ivorey
main menu, go to Calendars then > Calendar Settings
In the top menu bar, select [Connections] > then click [+ Add New]
Choose Calendly and click [Connect]
Complete the authentication process by signing into your Calendly account and granting the necessary access
Once your Calendly account is successfully connected, select the calendars/ events you want to connect with Ivorey
Give consent to pull your events by checking the consent box and click on save
You may or may not be directed to a mapping screen, depending on how your Calendly forms are configured, which will allow to choose how to manage contact phone numbers
Your Calendly integration is now set up 
In the calendar Connections settings, edit your Calendly connection and adjust the calendars/appointments you want to sync with Ivorey
. You can add new calendars to start syncing events or remove existing calendars to stop syncing their events.
When deselecting a calendar, you'll have the option to choose whether you want to delete all synced events of that calendar from the system. Choosing yes will permanently delete all synced events, and they cannot be restored later. If you select the calendar again, only events created after the calendar was reselected will start syncing to the system.
Note: If the calendar is shared (such as a collective calendar or round-robin with more than one team member), the events will be deleted from the system only after all team members who have integrated their Calendly account have chosen to permanently delete the appointments. As it is a shared event, even if one team member chooses not to delete the event, it will remain visible in the appointment list page.
If you delete the Calendly integration altogether, you'll also have the option to delete all synced events across all calendars from the system. Similarly, choosing yes will permanently delete all synced events, and they cannot be restored later. If you reconnect your Calendly account and select the same calendars again, only events created after the calendars were reselected will start syncing to the system.
Note: As stated above, for shared calendars, an event will only be completely removed when all team members agree to delete it.
