Before You Dive In

The Asana and Ivorey™ integration allows you to streamline task and project management by automating task creation, updates, and triggers in real time through workflows, removing manual work and keeping your teams aligned across platforms.

This guide is perfect if you want to:

  • Automatically create and update Asana tasks and projects from Ivorey™ workflows

  • Trigger Ivorey™ workflows when tasks, comments, or attachments are added in Asana

  • Keep projects, teams, and clients in sync without third-party tools

How to Connect Your Asana Account to Ivorey™

  1. From the Ivorey™ main menu, go to Settings > click [Integrations] > locate the Asana option, and click [Connect]​

  2. Follow the prompts to log into Asana > and approve access​

That’s it! Once connected, you can begin using Asana actions and triggers inside your Ivorey™ workflows.


How to Use Asana Actions in Ivorey™ Workflows

You can automatically run actions in Asana when certain triggers take place in Ivorey™. For example, when a form is submitted, a pipeline stage changes, or a tag is added in Ivorey™, you might want to create a task, update an existing task, or add a comment inside Asana.

  1. From the Ivorey™ main menu, go to Workflows > and open an existing workflow or click [+ Create Workflow] > and [+ Start from Scratch] to create a new one​

  2. Set your [Trigger], at the top of the workflow, to whatever should happen inside Ivorey™ to activate this workflow (e.g. Form Submitted)

  3. Click the [+] button to add an action > search "Asana" > and select your preferred action:​

    1. Choose [Create Task] to automatically create a new task in Asana​

      1. Choose your Asana Workspace and Project > and enter the task name​

      2. (Optional) Set the task details:​

        1. Due date

        2. Assignee

        3. Task description

        4. Custom fields​

    2. Choose [Update Task] to automatically update an existing task's details such as the status, assignee, or custom fields​

      1. Choose your Asana Workspace and Project > and select the specific Task ID you want to update (you can map this dynamically if the Task ID is stored on the contact)​

      2. Choose which fields you want to update, such as:​

        1. Task name

        2. Status

        3. Assignee

        4. Due date

        5. Custom values​

    3. Choose [Create Comment / Story] to automatically add comments to an Asana task​

      1. Choose your Asana Workspace and Project > and select the specific Task ID you want to leave a comment on​

      2. Type in the comment you want to add - you can include dynamic Custom Values, such as contact name, email, phone number, tags, and more​

    4. Click [Save Action]​

  4. You can add as many actions as you want (Asana actions or any others)​

  5. When you're done, toggle the workflow to [Publish], at the top right corner > and click the [Save] button​

  6. Test your workflow by completing the trigger you set (e.g. send a test form submission), to confirm that it is firing correctly > go to the [Execution Logs] tab to check for any errors​

How to Use Asana Triggers in Ivorey™ Workflows

Asana triggers in Ivorey™ are instant and powered by webhooks. This means the moment something happens in Asana (such as when a new task is created or a task is updated), Ivorey™ is notified straight away and your workflow runs automatically, with no delays or polling.​

  1. From the Ivorey™ main menu, go to Workflows > and open an existing workflow or click [+ Create Workflow] > and [+ Start from Scratch] to create a new one​

  2. Set your [Trigger], at the top of the workflow, to whatever should happen inside Asana to activate this workflow (e.g. Task Created or Task Updated)​

    1. Name your trigger > and click [Test Trigger] to pull through sample task data​

    2. Use the available dynamic fields like task name, assignee, due date, or status​

    3. Click [Save Trigger]​

  3. Click the [+] button to add an action that should take place in Ivorey™ (e.g. Add Tag or Create Appointment)​

  4. You can add as many actions as you want​

  5. When you're done, toggle the workflow to [Publish], at the top right corner > and click the [Save] button​

  6. Test your workflow by completing the trigger you set (e.g. create a test task in Asana), to confirm that it is firing correctly > go to the [Execution Logs] tab to check for any errors​

When using the Task Updated trigger, we strongly recommend adding the Fields Changed filter. Asana can fire multiple update events for a single task, because one change may trigger additional background updates. Applying this filter ensures your workflow only runs when the specific fields you care about have changed - helping prevent unnecessary or duplicate workflow executions.

Do Asana triggers fire in real time?

Yes, all triggers are instant and respond immediately to changes in tasks or projects.

Can I create tasks automatically from a lead or form submission?

Absolutely, workflows can automatically create tasks in Asana with all relevant details.

Can I update multiple tasks at once?

Yes, workflow actions allow updating task fields based on triggers or conditions, to streamline bulk updates.

Can I sync data both ways between Asana and workflows?

Currently, the Asana integration supports one-way sync. Workflows can either be triggered by activity in Asana or perform actions inside Asana.

Do I need a paid Asana plan?

No, the Asana integration works with both free and paid Asana plans. Some advanced Asana features may require a paid subscription.
