Use and Manage Your Client Portal

Inviting Clients to the Client Portal

You can invite clients to the portal in two ways: through automatic access triggers or by sending a manual invite.

Clients are automatically granted portal access when any of the following actions occur:

  • You send them a document

  • You issue an invoice or proposal

  • You enroll them in a course or community

These actions trigger an email with a secure login link - no manual invite needed. You can also manually invite a contact directly as follows:

How to Manually Invite a Contact

If you'd like to invite a client directly (without sending a document or invoice), follow these steps:

From the Client Portal Dashboard

  1. Go to [Courses] > [Client Portal] > [Dashboard]

  2. Scroll to ‘Actions’

  3. Select the method you want to add them by:

    • Generate magic link: Magic links will let your contacts directly log in to the client portal without needing them to log in. Magic links are useful when you send them over email or messages

    • Invite to client portal: You can invite new users to your client portal by clicking on the invite button. You can either invite an already existing contact or enter an email address. The invitation will go from your default domain

    • Send login email: Send login email sends an automatic email to your contacts with a quick login button. Your clients can use the login button inside the email to login to the client portal with requiring them to enter their password

Clients will only see content you’ve chosen to share with them - such as documents, invoices, courses, or community access.

Note: If someone has DND enabled, they will not receive their offer access emails which include their login details. This email only sends once, so even if you grant access to the contact again they will not receive the email. In this case, you will need to send them a manual email or message with a magic link.


How Clients Can Upload Documents to You

Your clients can upload files securely through the portal by following the below steps:

  1. Log into the Client Portal

  2. Navigate to the Shared Documents section

  3. Click [Add files]

  4. Select a file (PDF, DOC, PNG, etc.) and confirm the upload

Uploaded documents will appear in your CRM under:
Contacts > [Client Name] > Documents > Received > Client Portal


How to Share Documents With Clients

To share a document through the client portal:

  1. Go to Site Pages > Client Portal > Settings > App Permissions (Ensure 'Shared files' is ON)

  2. Invite your contact to the portal (If not already invited)

  3. Go to Contacts > [Client Name]

  4. Under the Documents panel, upload your file

  5. Check the 'Share documents on Client Portal' box

  6. Click [Upload]

Shared documents will appear in your client’s portal under “Shared Documents.” If the toggle is left off, the file stays internal.


Forgotten Passwords & Secure Login

If a client forgets their password, they can still log in securely.

  • When accessing the portal, they’ll receive a one-time login code via email

  • No need to remember or reset a password

  • These codes ensure quick, secure access whenever needed
