Instead of building automations manually, step by step, you can use Workflow AI to map out your entire workflow structure from a simple description. Tell the AI builder what you want to build in simple terms, and it will generate the triggers, actions, timing, and branching for you - ready to review and customise before you publish.

Workflow AI is built to speed up automation without replacing your judgment. It generates, edits, and analyses workflows from simple prompts, but you're always in control of what goes live. Here's a quick overview of what it can do, and where its current limits are.
Build a new workflow from scratch - describe your goal and AI will generate the full workflow structure, including triggers, actions, and timing
Plan before you build - use Chat mode to think through your automation logic before anything gets built, then switch to Build mode when you're ready
Refine an existing workflow - open any workflow and ask Workflow AI to suggest improvements, add, remove, replace, or move steps, or update the configuration of specific actions
Generate content inside workflow actions - use the AI options built into specific actions to generate emails, SMS messages, custom code, and more
Edit If/Else and Wait steps conversationally - update branch conditions, add or remove branches, change wait types and timing, without leaving the chat panel
Manage workflow settings - ask Workflow AI to rename your workflow, or update settings like Allow Re-entry, Stop on Response, Sender Details, and Time Window
Link data between steps - ask Workflow AI to reference outputs from earlier actions in later steps
Analyse a workflow - get a breakdown of what a workflow does, in simple and clear language, or get performance insights including entries, completion rates, drop-off points, and contact-level tracking
Answer your workflow questions - ask anything, from what a specific action does to general best practice for building automations
AI can’t test workflows - you need to test manually by completing the trigger with real or test details, then checking the Execution Logs tab inside your workflow
Some actions require manual completion - any steps that need credentials, account selections, or specific configuration will appear in the To-Do List at the bottom of the panel and must be completed before the workflow is ready to publish
Chat history doesn't save on exit - if you close the workflow entirely and reopen it, your previous Workflow AI chat history won't be there. You can start a new thread and continue building from where you left off
Multi-path deletions may need clarification - when asking Workflow AI to delete an action that has multiple paths, it may ask clarifying questions before proceeding to make sure the right branches are removed
Always review before publishing - Workflow AI is in beta, so always check triggers, actions, and settings carefully before going live. Some complex configurations may need manual adjustment after generation
Describe what you want to automate, and Workflow AI will generate the full workflow structure for you, typically within ~45 seconds. Once it's built, you can review each step and complete any remaining configuration before publishing.
From the main Ivorey™ menu, go to Workflows > in the top right hand corner, click the [Build using AI] button, to open the prompt box - or click the [+ Create Workflow] button > select [+ Start from Scratch]:
Find the prompt box at the top of the workflow
Or click the ✨ Workflow AI icon, in the left-hand side menu, to open the prompt box
Once you have the prompt box open, you can either:
Select one of the pre-built categories > and edit the drafted prompt as needed - the categories include:
Lead Nurturing
Form Automation
Email Campaigns
Appointment Automation
Contact Management
Note: This will generate a draft prompt as a starting point for how to describe the kind of workflow you need, but this should be edited based on your exact needs.
Type in your prompt from scratch, using simple language, and describing what automations you want to take place
Click the 🎙 microphone icon to Dictate your prompt, instead of typing it
Note: Include what should start the workflow (the trigger), any communication channels (SMS, Email, Internal Notification), any timing (wait X days, wait until X), and any conditions or branching you need. Try to outline the flow in order of how you want to be built in the workflow.
Example: When an appointment is booked, send an SMS reminder 24 hours before the appointment time, then follow up with an email if there is no reply.
Click the [↑] up arrow icon to submit the prompt > this will open the left-hand side panel, while Workflow AI processes and begins building your workflow
While your prompt is being processed, you can click the ⏹ square icon to stop the AI from processing, if you need to start over and correct your prompt
If your prompt is missing key details, Workflow AI may ask a few clarifying questions before building > answer them in the left side panel, or skip any to let AI decide
Once the workflow generates, review the summary explaining the Triggers and Actions > check that the trigger, sequence of actions, timing, and any branching match your goal > and reply in the chat window if any steps are missing or if anything needs to be adjusted in the flow
If any specific action or trigger needs to be adjusted, click the Point & Edit button, at the bottom of the panel > select the action or trigger (use Shift to select multiple) > and type in the changes needed
You may see a prompt, at the bottom of the window, to Complete these steps before executing your workflow, with a list of action items (e.g. connecting credentials or selecting a specific account) before the workflow is ready to go live > click the ✏ pencil icon on each step, to configure as needed
Make sure to click into each trigger and action to verify the specific settings > and customise as needed
Click the [Clear Chat] button, at the bottom, if you want to start a fresh thread at any point
When you’re happy with your workflow, click the [Save] button, in the top right corner > and toggle the workflow to [Publish]
We recommend testing any new workflow, by completing the specific trigger (book a test appointment, submit a test form, etc.) > use test details but ensure you use real email address/phone number which you have access to, to test any email/SMS steps > check the [Execution Logs] tab in your workflow to see if there were any errors
Note: If you close and reopen the Workflow AI chat panel, your chat history will still be there. However, if you exit the workflow entirely and reopen it, your previous chat history will not be saved. But you can start a new thread and continue building from where you left off.
If you're working on an existing workflow, you can make changes directly from the Workflow AI chat panel without editing steps manually. For straightforward edits or additions, describe what you want in simple language. For more specific changes, the Point & Edit option gives you precise control over exactly which steps are affected.
From the main Ivorey™ menu, go to Workflows > open your workflow > and click the ✨ Workflow AI icon, in the left-hand side menu, to open the prompt box
Click the [Describe this workflow] option, to get a summary of how this workflow is set up and how it works
Click the [Edit this workflow] option, to auto-fill the chat box with a prompt starter, or type your change in manually in simple language > and Workflow AI will update the relevant steps while keeping the rest of the workflow intact
Or click the [Point & Edit] button, at the bottom > select the action or trigger (use Shift to select multiple) > and type in the changes needed > Workflow AI will apply the changes only to the selected steps
When you’re happy with your workflow, click the [Save] button, in the top right corner > and toggle the workflow to [Publish]

The Chat mode in Workflow AI lets you have a free-form conversation, to work through your automation logic before anything gets built. It’s a useful starting point if you’re managing complex automations, if you’re not sure exactly what your workflow should look like yet, or if you want to think through the setup mid-build.
From the main Ivorey™ menu, go to Workflows > in the top right hand corner, click the [+ Create Workflow] button > select [+ Start from Scratch] - or open an existing workflow
Click the ✨ Workflow AI icon, in the left-hand side menu, to open the prompt box > and click the [Chat] button at the top, to switch to chat mode

Help with an error - autofills the prompt with “I’m getting an error that says” to start you off
Suggest next steps - get Workflow AI to analyse your existing workflow and suggest improvements
Type out your message to describe what you are trying to achieve > and work through the logic with Workflow AI, to determine the triggers, actions, timing, branching, etc.
Note: We recommend keeping messages simple and to the point, as much as possible.
Utilise any relevant suggested Follow-ups, at the bottom of the chat, as needed
Click the [Clear Chat] button, at the bottom, if you want to start a fresh thread at any point
Once you have a clear plan, click the [Build] button, at the top, to switch to build mode > then ask Workflow AI to build the workflow based on your conversation
Several workflow actions have an AI option built directly into them, so you can generate professional, on-brand content from a short description without leaving the workflow builder.
From the main Ivorey™ menu, go to Workflows > in the top right hand corner, click the [+ Create Workflow] button > select [+ Start from Scratch] - or open an existing workflow
Click [+] to add a new action > select any action you need:
The Write with AI option is available in Communication actions, such as Send Email, Send SMS, Messenger, Instagram DM, Send Internal Notification > Email/SMS
In the message or content field, click the [Write with AI] button to open the AI generator
The Build with AI option is available in Internal actions, such as Custom Code
Note: Custom Code is a premium workflow action, please refer to our Billing and Inclusions guide for the price per execution.
In the code field, click the [Build with AI] button to open the AI generator
The Set up with AI option is available in Internal actions, such as Wait
Click the [Set up with AI] button to open the Workflow AI side-panel
Follow the prompts or type a short description of what you want. For example: "Write a follow-up SMS for someone who just booked a discovery call" or "Write an internal notification for when a new lead fills out our enquiry form"
(optional) Select a Tone from the drop-down, such as Friendly, Professional, Casual, Persuasive, or Neutral (default)
Click [Generate] or send in your prompt > and AI will write the content/code or set up your action for you
For email actions, tick the Use Subject checkbox to apply the AI-generated subject line, or keep your own
If you'd like to refine it, type a follow-up prompt > and click [Re-generate] (you can repeat as many times as you need)
Once you're happy, click the [Use] or [Add to Workflow] button to insert the content directly into the action
Continue building your workflow as usual > toggle your workflow to [Publish] in the top right corner > and click [Save]
Test your workflow by completing the specific trigger > use test details but ensure you use a real email address/phone number which you have access to, to test any email/SMS steps > and check the [Execution Logs] tab in your workflow to see if there were any errors
If your request is too broad or missing important details, Workflow AI will pause and ask you a follow-up question before building or generating a response.
Yes, you can describe multi-layered wait sequences in a single message, including time delays, business hours windows, and reply-based conditions. Workflow AI will configure the timing, branching, and timezone settings for you.
Yes, if you would like to disable Workflow AI, you can do so in your global workflow settings. Go to Workflows > Global Workflow Settings > and toggle OFF Workflow AI. This will apply for all users inside your Ivorey™ account.
Yes, you can ask Workflow AI how a workflow is performing and get a full breakdown, including total entries, completion rate, status breakdown (completed, failed, waiting, or skipped), goal conversions, drop-off points, and how many contacts are sitting at each step right now.
You can also view trends, get engagement metrics for individual email or SMS steps, and track specific contacts - for example asking "who entered last week?" or "which contacts failed at the SMS step?" to get names and emails back.
You can even diagnose trigger issues by asking why contacts are being rejected before they enter the workflow, and ask it to find any workflow in your account by name or description.
Yes, when Autosave is enabled in your Global Workflow Settings, any workflow generated or edited by Workflow AI saves automatically in the background - you don't need to manually save after each AI change. You can enable Autosave under Workflows > Global Workflow Settings.
Note: Autosave doesn’t save your Workflow AI chat history, only workflow triggers, actions, and settings generated by AI.
