This article is one step from our Master Help Guide: All About Calendars. We recommend starting with the visual walkthrough video and examples inside the Master Help Guide before diving into the technical setup below.
Each Master Help Guide acts as your project plan - teaching you the feature, laying out the steps in the right order, and linking to every resource you’ll need along the way.
This guide is perfect if you're looking to:
Sync your Google, Outlook or iCloud calendars with Ivorey
Set up meetings over Zoom, Google Meet or Microsoft Teams
By integrating your Google, Outlook or iCloud Calendar, Ivorey
will be able to check for any conflicts in your existing calendars so you don't get double booked. It will also allow your appointments to show up on your external calendar, instead of just inside the Ivorey
platform.
From the Ivorey
main menu, select [Settings] > [Profile] > then scroll down to Calendar Settings > and click [+ Add New]
Here you can select which calendar you want to connect by clicking the [Connect] button
Follow the prompts to give LeadConnector permission to access your account
Please Note: You must allow full calendar access. Failure to grant full access may result in sync issues.
Repeat steps 2 and 3 if you have more than one calendar to connect to Ivorey
Under Calendar Configuration:
Next to Linked Calendar, click [Edit] to make sure the correct calendar is selected that you want linked to Ivorey
- this is the calendar that any NEW appointments booked in Ivorey
will show in
Next to Conflict Calendar, click [Edit] to make sure the correct calendar is selected that you want linked to Ivorey
- this is the calendar that Ivorey
will check for any conflicts before showing availability in your Ivorey
booking calendars
Note: Only NEW appointments booked inside Ivorey
will display in your external calendar, from when you connect your calendar and vice versa. Connecting your calendar to Ivorey
will not show appointments booked or blocked out time set before you connected your calendar.
If you want the option to automatically add an online meeting link to Ivorey's Meetings Calendars - you need to integrate your preferred video call provider. See below how to integrate Ivorey
with Zoom, Google Meet or Microsoft Teams.
From the Ivorey
main menu, select [Settings] > [Profile] > scroll down to Calendar Settings > and click the [Video Conferencing] tab
Select [+ Add New] > and click the [Connect] button next to platform you want to integrate and host your online calls from
If integrating Google Meet, you will need to connect your Google calendar to Ivorey
first, as shown in Step 1 above
If integrating Zoom, you will need to make sure that your Zoom account isn't integrated on another platform first
If integrating Microsoft Teams, you do not need to also connect an Outlook calendar (if you don't have one)
Please note: only Microsoft Teams accounts for Work or School (Organization and Education) are eligible for integration. Personal Microsoft Teams accounts are not supported. Please ensure you are using an Organization or Education account to complete the setup.
Follow the prompts to sign into the platform you selected and ensure all necessary permissions and access is granted
To manage your video conferencing settings for your team, navigate back to the Ivorey
main menu, and go to [Calendars] > [Calendar Settings] > and along the top menu bar click on [Connections]
Select the team member from the My Staff drop-down menu, and update as needed
Third party integrations need to be re-integrated regularly to maintain the connection and ensure the integration settings and permissions are up to date. Expiration times for your integrations will mostly depend on the external platform itself (e.g. Gmail/Zoom for example), and so you will need to go into the relevant settings and re-integrate the platform to re-authenticate the integration.
Because the appointment was made while they weren't connected, the appointment won't display in the external calendar, but all new appointments booked going forward should show.
The Calendly integration is not designed for transferring current or previous appointments from Calendly to Ivorey
. Instead, it's for users who are still using Calendly but want those events to also show inside their Ivorey
calendar. We recommend switching to Ivorey
calendars instead. But if you would like to integrate with Calendly, please refer to our Integrate Calendly with Ivorey
guide for the detailed steps.
The Outlook integration will only sync events that are created directly in the connected Outlook calendar. When appointments are booked through Acuity, they are sent to Outlook as read-only invitations, which means Outlook doesn't technically own the event.
Currently, there is no native integration to sync Acuity appointments into Ivorey
. However, you can use an external tool, such as Zapier or Pabbly, to send your Acuity appointments into Ivorey
automatically.
