Moving from HubSpot to Ivorey™ doesn't mean starting your CRM from scratch. This guide walks you through the full migration, starting with the HubSpot Importer to bring your contacts, deals, companies and tasks across in one go, then setting up the rest of your assets in Ivorey™, so everything's ready before you cancel your HubSpot subscription. If a step doesn't apply to your business, skip it and move on to the next.
Importing directly from HubSpot brings across more than a spreadsheet can. Your pipelines and stages are preserved when you bring deals in as opportunities, your custom fields carry over instead of needing to be rebuilt, and you get a full report at the end showing exactly what imported successfully and what needs a second look.
This guide is perfect if you want to:
Migrate from HubSpot to Ivorey™
Import your HubSpot data into Ivorey™ without manually exporting and re-uploading CSV files
Preserve your existing pipeline and stage structure
Recreate your products, website, email sequences, phone setup and workflows
Cancel your HubSpot subscription
We highly recommend starting here before you begin importing any data. This will allow for a smoother transfer of data, keep your system organised, and remove any clutter and duplicates.
From the Ivorey™ main menu, go to Settings > on the Business tab, scroll down to the bottom, until you reach Contact Deduplication Preferences
Ensure Find existing contacts is set to [Email] > and select [None] under Second preference
Note: When creating a new contact, Ivorey™ checks your primary identifier first (e.g. Email), then your secondary identifier (e.g. Phone). If no match is found, a new record is created.
In the left-hand panel Settings menu, go to Objects > click on [Opportunities] > check the box next to Allow multiple opportunities per contact > and click [Save changes]
✅ Done means:
New contacts are cross-checked by email, to avoid duplicate records
Contacts can have more than one opportunity assigned to them at a time, so no Deals are lost in the transfer
Once the above is done, go ahead and progress to Step 2.
Now it’s time to connect your HubSpot account to Ivorey™ so you can directly import your contacts, deals, companies and tasks. You’ll manage the whole process from inside Ivorey™, but will be prompted to login to your HubSpot account to authorise the connection. Once you're connected, Ivorey™ opens an import wizard that walks you through exactly what to bring across from HubSpot.
From the Ivorey™ main menu, go to Contacts > click the [Import] button, in the top right-hand corner of your screen
Note: You can also start an import from Settings > [Import Data], and continue with the same steps outlined below.
Under Choose an import method > click [Import from HubSpot] > and log in to your HubSpot account to authorise access to Ivorey™, via our LeadConnector importer
Under Choose an account, select the HubSpot account you want to connect > click [Choose Account]
Review the permissions HubSpot lists under Required > deselect what you don’t want LeadConnector to have access to in your HubSpot account > then scroll down and click [Connect app]
Note: If you see a message that this is an "unverified app", this refers to the LeadConnector importer, not to Ivorey™ itself. This is an additional security measure from HubSpot, to make sure you trust the platform that you’re allowing to access your data.
Authorise permission for Ivorey™ to access and export your HubSpot data > click [Connect] to continue
(optional) On the Get started step, watch the short intro video if you'd like a visual overview > and click [Continue], in the bottom right corner
Note: At any time, you can click the [Previous] button, in the bottom left corner, to return to a previous step.
On the Select objects step, select which HubSpot data you want to import: Contacts, Deals (called Opportunities in Ivorey™), Companies, and/or Tasks > and click [Continue]
Note: Importing Deals requires Contacts, so Contacts will automatically be selected if Deals is selected.
On the Select import data step, confirm what data to bring across for each selected object (e.g. Properties, Notes, Emails), by unselecting anything you don't need, or click [Deselect all] to start fresh > and click [Continue]
Note: Properties are required for Contacts, Deals and Companies, and Deals also require Pipelines and Associations. None of these can be unselected, if you’ve chosen to import those object types.
On the Handle duplicates step, review how Ivorey™ will match your records > and click [Continue]
Note: Matching records are skipped automatically, and your existing Ivorey™ data won't be overwritten. These matching rules are controlled in your account settings and apply to every import, so they can't be changed from this screen. Click the [Edit] link if you'd like to review or update them first.
On the Preview and import step, review how many records were found in HubSpot for each data type:
If you'd like to select which fields to bring across, instead of importing all of them, click the ✏ pencil icon in the Actions column > click the drop-down > deselect any fields you don’t want to import > and click [Save]
Once you're happy with your selections, click [Confirm and start import]
Back on the Import data screen, under Import history, check the Status of your import, to monitor its progress - once it’s finished, it will show as Completed
Click the 📊 graph icon, in the Actions column, to review the details of your import and check for any errors:
Review the summary along the top, showing the Total records imported, and percentages and totals for: Success, Created, Skipped, Errors, and Imported with warnings
Review the individual records in the table below, showing the Status of each and any Warning or Error Message (e.g. invalid record, could not read)
Use the Status drop-down, above the table, and select [Error], [Skipped] and [Warning], to filter for any records that had issues > fix any identified issues directly in HubSpot or Ivorey™, depending on the status > and bring any fixed records across separately, that didn’t import successfully, if needed
Spot-check some of your imported records, to make sure everything carried over correctly:
In the left-hand panel Settings menu, click the [Go back] button, to exit Settings > go to Contacts > and review some of your imported contacts
Check their contact details > and click on the [⤧] Opportunities tab, on the right-hand side, to make sure their opportunities were correctly linked to their contact profile
Click on the [Task] tab, along the top menu bar > and review some of your imported tasks
Click on the [Companies] tab, along the top menu bar > and review some of your imported companies
✅ Done means:
You've confirmed how many records imported successfully
Errors for any specific records have been identified, fixed and re-imported if needed
All imported records are visible in Ivorey™, with no duplicates
Once the above is done, go ahead and progress to Step 3.
Products, pricing and payment processing aren't part of the HubSpot import, so if you sold products or services through HubSpot, you'll need to set these up fresh inside Ivorey™.

Once the above is done, go ahead and progress to Step 4.
Next, you can rebuild any website pages, forms, booking or landing pages you had connected to HubSpot.

If you used HubSpot for email marketing, your templates and sequences will need to be rebuilt inside Ivorey™.

Once the above is done, go ahead and progress to Step 6.
If you use phone or SMS features in HubSpot, you won’t be able to directly migrate anything across. However, you can set up phone services in Ivorey™ and recreate any SMS campaigns etc., before cancelling.

Once the above is done, go ahead and progress to Step 7.
HubSpot workflows aren't brought across as part of the import, so you'll need to rebuild your automations with workflow triggers and actions inside Ivorey™.
During the previous steps, you may have already recreated all of your workflows in Ivorey™. But for any remaining automations, follow our Workflows & Automations guides for step-by-step instructions.

Key workflows and automations are rebuilt and tested inside Ivorey™
Once the above is done, go ahead and progress to Step 8.
Once everything above is set up and tested, you're ready to go live inside Ivorey™ and close out your HubSpot account.
Connect your domain and publish any website pages, funnels or forms you've built in Ivorey™
Log into HubSpot and export any HubSpot reports or analytics you want to keep (e.g. deal, pipeline or sales activity reports) before cancelling, as this data doesn’t transfer with the import
Cancel your HubSpot subscription
✅ Done means:
Everything from HubSpot has been successfully imported or rebuilt in Ivorey™
You’ve exported and stored any HubSpot reports you need to keep
Your HubSpot subscription is cancelled
Your migration is complete 🥂
Yes. You can start a new import at any time, and each run is tracked separately in your Import history, so you can compare results or check a previous attempt for errors before re-importing.
File imports aren't currently supported. Any Contact or Deal with a file attached to a field will show an error during import. Download the file from HubSpot first, remove it from the field, then bring that record across on its own and re-attach the file manually afterwards.
Custom fields are matched by their internal key, not their label. If a field with the same key already exists in your Ivorey™ account, that field will show an error during import. Rename or remove the existing Ivorey™ field beforehand if you want a clean import.
Yes, but imported emails are read-only inside Ivorey™, so you'll be able to view them on the contact record but won't be able to edit them.
