This article is one step from our Master Help Guide: All About Email Marketing. We recommend starting with the visual walkthrough video and examples inside the Master Help Guide before diving into the technical setup below.
Each Master Help Guide acts as your project plan - teaching you the feature, laying out the steps in the right order, and linking to every resource you’ll need along the way.
One of the most timeless and efficient marketing strategies is sending out a consistent newsletter to your leads and clients. We’ve made it simple to get started.
You can either create your own email template, or choose one of our ready-made newsletter templates (designed to match each Premium Collection).
This guide is perfect if you want to:
Pick and import your newsletter template
Customise your newsletter email template
Send or schedule a newsletter to your list
We've created a newsletter template to match each of our premium collections! Please refer to our Ivorey
Template Library guide to learn more about all of the beautiful templates we've created for you, and how you can access and download our newsletter templates from the Template Library inside Ivorey
.
Now the fun part - to customise your newsletter and create a repeatable template you can easily use to send out each week or month.
From the main Ivorey
menu, go to [Marketing] > [Emails] > [Templates] > and click on the newsletter template you just downloaded into your account, to access the email builder
Use the sidebar on the left to drag and drop elements, change text, and swap out images
Click on any element to open the settings panel on the right, and change the colours to match your brand
Click [Save Template], at the top right of the screen, to save your customised template for future use
It's time to send or schedule your newsletter out to your community!
From the main Ivorey
menu, go to [Marketing] > [Emails] > then click [Campaigns]
Click on the [+ New] button at the top right of your screen > then select [Your Templates]
Search for the newsletter template you just finished customising > then click on it to add it as an email campaign
Recommended: Send yourself a test email by clicking the (⁝) three dots, at the top right of your screen > then click [Test Email], to make sure everything is formatted correctly
Once you have sent yourself a test email and are happy with your newsletter, click the [Send or Schedule] button, at the top right of your screen. Fill in the details:
At the top, select if you want to [Send Now], [Schedule], or [Batch Send] your newsletter:
If you select to Schedule, you will need to add the date and time you would like your newsletter to send
If you're still a new Ivorey
user, or have recently setup a dedicated sending domain, we recommend using the Batch Send option (refer to Email Domain Warm Up guide to understand why)
Sender Email: put the email address you want your newsletter to display that it is sent 'From' here (e.g. hello@yourdomain.com)
Sender Name: put the name you want your newsletter to display that it is sent 'From' here (this field is optional)
Subject Line: add your subject line here, if it's not already added from the template settings
Preview text: add your preview text here (this field is optional but recommended)
Recipient to: here you can select who you'd like to send your newsletter to. You can choose to select [All Contacts], or send to a specific audience by choosing:
Send to Smart List - select a smart list you’ve already created (refer to our Contact Filters, Tags and Smart Lists guide to learn how)
Choose Contacts From Tags - select a specific tag/s, and any contacts with that tag will be added as recipients
Pre-built Segments - select a segment based on engagement
Build Segments - create a segment, using a combination of smart lists, tags, pre-built segments, or specific contacts
Toggle on or off the Additional Settings, depending on the recipient actions you want to track:
Track clicks - monitor how recipients interact with links in your email
UTM Tracking - automatically add UTM parameters to any links in your email, to track where leads/sales are coming from
Add tags - automatically tag contacts based on how they engage with your email, and configure the conditions
Resend email to unopened - schedule when to resend your email to any recipients who haven’t opened it yet, and customise the resend subject line
Once you have entered all your sending details, click the [Review and Send] or [Review and Schedule] button, at the top right of your screen, to send or schedule your newsletter
Congratulations!
You've just created and sent your first newsletter using one of Ivorey's templates. We hope you've enjoyed this experience as much as we've enjoyed creating these templates for you!
Yes, you can choose to send your newsletter or broadcast email to a specific audience by using smart lists or tags. Please refer to our Contact Tags and Smart Lists guide for the detailed steps.
If your test email is empty when it lands in your inbox, check the visibility settings of your email content. Make sure the visibility tab is set to All Devices instead of No Devices, to ensure the content is shown on both mobile and desktop.
Your email text formatting may look different after sending, if you copy text directly from an external source and paste it into the Ivorey
editor. Often hidden formatting code from the original source overlaps or overrides Ivorey's settings, causing text, colours, spacing, or font settings to change once the content goes live.
To avoid this, paste your content into a plain text editor (e.g. Notepad or TextEdit) or to a Google Doc using "Paste without formatting" (Ctrl+Shift+V or Cmd+Shift+V). Then, copy that "clean" text and paste it into the email builder. This strips away the hidden code and ensures your text displays perfectly every time.
If you are having issues dragging and dropping elements into your email, we recommend building out your emails inside the Templates tab first, and only pulling into the Campaigns tab when you are ready to schedule or send the email. Building out your emails as a template first offers a more seamless experience, when want adding different elements in and customising your emails.
If you are building out your email inside the Templates tab, then you want to make sure you are dragging the element into your email and only 'dropping' when you see the line show in the correct section. If the line is not showing in the section of your email that you want to add your element to, you may need to break up the blocks to create multiple sections so you can format your elements accordingly.
Only email templates created using Mailchimp’s drag-and-drop builder are supported for import. Templates built using custom HTML aren’t supported and will fail during import, which is what’s happening in this case.
Please double-check that the file that you've linked matches the Ivorey
file size limits, and if the problem persists to please use an external file storage link instead (such as Google Drive) as this error can occasionally happen for certain file types.
If emails in a campaign were skipped because of insufficient account balance, they cannot be automatically resent in bulk once the balance is restored. Skipped emails remain marked as skipped in the campaign activity, and the system does not currently provide a feature to bulk resend those previously skipped emails. To send the message again, you would need to manually resend the email or re-trigger the campaign for the affected contacts, depending on the setup of the campaign.
Some government, education, or institutional email domains have very strict security and verification settings. When Ivorey
attempts to automatically validate an email address, the recipient’s mail server may not respond to the verification request. If no response is received, the system may temporarily flag the address as “invalid”, even if the email itself is correct.
This behaviour can appear intermittent. In some cases, the domain responds normally and the email works. In other cases, the server does not respond to the validation check, which triggers the invalid status.
Because this behaviour is determined entirely by the recipient’s mail server configuration and how it handles verification requests, it cannot be adjusted on our end. If needed, the email address can be manually verified within Ivorey
. Once verified, communications can be sent normally.
If you're seeing errors like “Email Not Sent” or a 400 error when sending to Microsoft inboxes (Hotmail, Outlook, Comcast), this is usually due to Microsoft filtering the email.
This can happen when emails include links, images, or formatting, especially if engagement is low. Simple emails (like plain text messages) will often still go through. This isn’t an issue with your Ivorey
setup, it’s how Microsoft handles email filtering.
To improve delivery:
Start by sending simple, conversational emails
Encourage replies to build engagement
Gradually reintroduce campaign-style emails to Microsoft recipients
If you’ve set up a dedicated domain with a fixed sending header, that will always be used instead of the sender email you choose in your campaign. This is done to protect your email deliverability and make sure your emails are properly authenticated. So even if you select a different sender email, the system will override it with the one set in your domain settings.
You can use different sender emails in your campaigns when:
Each sender email is on a different domain, and
Each domain has been correctly set up for sending
If all your sender emails are on the same domain with a fixed sending header, you won’t be able to change the sender email per campaign.
The Resend email to unopened feature is available between 12 hours to 10 days after the original email was sent. This timing minimises complaints and aligns with industry norms. Consider the optimal time for resending - if your initial email was sent during off-peak hours, schedule the resend for a more active time.
You can do this in Emails > Statistics, directly from the sent campaign, or inside of Workflows. Please refer to our Email Marketing Analytics guide to learn more.
No, currently you can’t choose to resend to unopened on an email that has been resent already.
Yes, you can re-send the original invite to the same list using the Resend email to unopened feature, in case some haven't bought tickets or signed up to attend yet.
Yes, you can create a new template from any of your campaign emails. Go to Marketing > Emails > Templates > click the [+ New] button > and select [Create Template from Existing Campaign].
If you are sending a campaign to a large list of contacts, but only a small portion are delivered, this usually happens because a dedicated sending domain has not been configured. Without one, your campaigns are sent through a shared sending domain with very strict limits.
When you send to a large volume (e.g 5,000+ contacts) on a shared domain, the system often pauses or limits the send to protect overall deliverability. To ensure your emails reach your full list and to remove these restrictions, we strongly recommend setting up and verifying a dedicated sending domain. This authenticates your brand and allows future campaigns to process normally. Please refer to our Set Up Email Services guide for the detailed steps.
