Customise Proposal Settings and Automated Emails

Step 1: Customise Your Proposal Email Templates

We have created pre-made email templates for you that are available inside the Template Library. They are pre-filled with custom values that will automatically pull in customised data to send, such as your Proposal URL and recipient name.

Click here for the written steps:

  1. From the main Ivorey™ menu, go to Marketing > Emails > Templates

  2. You'll see email templates we have already pre-loaded into your account under the Document Notifications folder

    Alternatively, you can reach out to the Ivorey Support Team via the Chat Widget and ask us to import the Document Notification Emails Folder into your Account so you can start customising these straight away!

  3. To edit the email templates, click on each email to open the email builder to customise to your branding by adding your own unique colours, and images. Be sure to keep the custom values we have added as these will automatically pull in your members name, email, Proposal URL etc.

  4. Once done, hit [Save]


Step 2: Customise and Setup Your Proposal Settings and Automated Email Templates

This video will walk you through setting up your automated emails, customising your Proposal settings, ensuring your expiry reminders are set up and your branded email templates are pulled into your customer notification settings.

  1. From the Ivorey™ main menu, go to Payments > hover over Documents & Contracts > then select [All Documents & Contracts]

  2. Click on the [Settings] button on the top right of your page and work your way through each of the Proposal setting tabs

    a. Under Customer Notifications you can now pull in your branded email templates if you opted to customise them. Work your way through each notification and from the drop down menu select the relevant template for each. Once complete, click the [Save] button on the bottom right-hand corner

    If you want the system default templates, you can skip this step

    b. Under Team Notifications you can edit these default email templates and turn them ON or OFF

    c. Next under Product Invoicing, you can decide how and when you'd like your invoice to be sent once the proposal has been accepted and signed

    Direct Payment: To redirect the user to the invoice immediately after signing is completed instead of waiting for them to receive an invoice in their email & then complete the payment you can toggle this ON

    Product Invoicing: To automatically send an invoice using the Products associated with the document once the document has been completed you can toggle this ON

    Note: If Product Invoicing is toggled off, an invoice will be created but left in Draft status

    d. Next under Document Settings you can set up a redirect URL for customers to be redirected to a custom page or URL after signing the document, set up a default document expiration date, as well as control signing settings


Frequently Asked Questions

What happens if a client partially signs but doesn’t complete the document?

If a document requires multiple signers and only some have completed their sections, the document will remain in Waiting for others. You can resend the document to any outstanding signers directly from your dashboard. The document will only be marked as Completed once all required signers have finished signing.
