Customise Default Emails With Custom Values

  • Customise all of the system-default emails (e.g. appointment confirmations, or when sending or following up on invoices, etc.) to your branding

  • Save time by customising the custom values, copy, and colours in our email templates

Step 1: Set Up Custom Values

At Ivorey™, we believe it's the little details that make all the difference, and we want to help you create your unique personalised experience for your clients! In this step, you are going to set up custom values to add your logo, signature and sign off image across all of our pre-made email templates at once, so that your clients are receiving a consistent branded experience across all your touch points of communication.

  1. From the Ivorey™ main menu, go to [Settings] then > [Custom Values] > You should see the custom values below:

    1. Members Image: {{ custom_values.members_image }}

    2. Members Logo: {{ custom_values.members_logo }}

    3. Members Signature: {{ custom_values.members_signature }}

    If you don't see these custom values, you can add them:

    1. Click on the [New Custom Value] button at the top right of your screen:

      1. In the [Name] field, write "Members Logo"

      2. In the [Value] field, add your desired image link (follow step 2 to get image link)

      3. Click [Update] to save

    2. Repeat those steps for the remaining two custom values, Members Image (your headshot) and Members Signature

  2. From the Ivorey™ main menu, go to [Media Library] > find the logo you want to use (or upload the logo if you haven't already), and click on the (⁝) three dots on the image > and select [Get Link]

  3. Navigate back to [Settings] > [Custom Values] > paste the image link into the "Value" field of the Members Logo custom value > and click [Update] to save

  4. Repeat those steps for the remaining two custom values, Members Image (your headshot) and Members Signature


Step 2: Customise Our Email Templates

In this step, you will learn how to access and customise our email templates with your own copy, branding, subject lines, and preview text.

  1. From the Ivorey™ main menu, go to [Marketing] > [Emails] > [Templates] > open a folder > and open the specific template you want to customise

  2. If you have set up your custom values, your logo and signature will automatically appear. If not, you can manually upload them

  3. Use the sidebar on the left to drag and drop elements, change text, and swap out images​

  4. Click on any element to open the settings panel on the right, and change the colours to match your brand

  5. Click [Save Template], at the top right of the screen, to save your customised template for future use

Note: To apply your newly customised templates, and replace the system default emails, in the different areas inside Ivorey™, such as calendars, invoices or payments, please refer to the relevant help guides for the detailed steps to select an email template.
