Ivorey
gives you full control over your courses and student access, so you can monitor participation, support learners, and manage enrolments and subscriptions without switching between tools.
This guide is perfect if you want to:
Review student participation and course progress
Get notified when new students enrol
Help students log back in or reset their password
Revoke access for members no longer in a course
Manage subscription cancellations and course access
You can track how students are moving through your courses using the Analytics section.
From the Ivorey
main menu, go to Courses > then along the top menu bar, hover over Courses > and click [Analytics]
Click [View] under the Course Progress tab
Choose the course you’d like to review to see your students’ progress
You can use a workflow to send yourself (or your team) a notification each time a new student enrolls.
From the Ivorey
main menu, go to Workflows and open the workflow connected to your Offer Checkout or Sales Funnel
Check if the action Send Internal Notification is included. If not:
a. Click [+] > [Send Internal Notification]
b. Select whether to send as a platform Notification or via Email
c. Write your message and choose which team member will receive it
Publish your workflow using the toggle in the top right corner > and click [Save]
If a student can’t log in, you can quickly send them a Magic Link to get back into their course.

main menu, go to Site Pages > then along the top menu bar, hover over Client Portal > and click [Dashboard]
Under Actions, click the [Generate] button next to “Generate Magic Link”
Select Contact > then choose the student from the dropdown list
Tick Send Email to email the link directly to them
Click the [Generate & Send] button
You can manually revoke a student’s access at any time.

main menu, go to Courses > then along the top menu bar, hover over Courses > and click [Analytics]
Click [View] under the [Member Analytics] tab
Click the
icon for the student you want to remove
Click [Update Offers] at the top right
Go to the Products tab
Tick the course you want to remove them from > click [Revoke Access]
Students can self-manage billing if permissions are enabled.

main menu, go to Courses > then along the top menu bar, hover over Client Portal > and click [Settings]
Open the [App Permissions] tab > and ensure Billing & Subscription is ticked on
Once enabled, students can log into their Client Portal > Billing area to cancel their own subscriptions
You can manually cancel a student's subscription at any time.

main menu, go to Payments > and then along the top menu bar click [Subscriptions]
Click the 3 dots (⁝) next to their active subscription
Select [Cancel] > and click the [Yes, Cancel] button
To automatically revoke course access when a subscription ends, set up a workflow.
From the Ivorey
main menu, go to Workflows > then on the top right-hand corner of your screen click [+ Create Workflow] > and click [+ Start From Scratch]
Name your workflow (e.g. “Subscription Canceled – [Course Name]”)
Set the trigger to [Subscription]
Add filters:
a. Global Product > select your subscription
b. Status > is > Cancelled
Add the action [Course Revoke Offer] > select the course
[Publish] and [Save]
To assign access to multiple courses, you can edit your offer under Courses > Offers to include any additional courses you also want them able to access. This will apply for anyone who has been granted access to this offer.
Alternatively, you can create an additional offer for the extra course, then go into the contacts profile > scroll to the offer section > and manually give them access to that additional course.
Currently, students/clients can’t pause subscriptions natively, but you could create a form that alerts you to manually pause their subscription in Stripe instead.
Unfortunately at the moment, there is no built-in way to turn off or customise the automatic "Revoke Access" email that gets sent when a member loses access to a course.
If a course is not displaying in the 'All Courses' tab of the client portal home page, this is usually because you haven't added a cover image for that course. Please refer to our Create a Course and Course Offer guide for the instructions.
If a course is not displaying in the 'My Courses' tab of the client portal home page, it means that contact does not have access to the course. Please follow the steps in our All About Courses Master Guide to ensure that your workflows are set up correctly, and contacts who are meant to access it, are being granted access to that course.
