Managing Courses and Student Access

This guide is perfect if you want to:

  • Review student participation and course progress

  • Get notified when new students enroll

  • Help students log back in or reset their password

  • Revoke access for members no longer in a course

  • Manage subscription cancellations and course access


Review Course Participation and Progress

You can track how students are moving through your courses using the Analytics section.

  1. From the main Ivorey™ menu, go to [Courses]

  2. Hover over [Courses] in the top menu bar > select [Analytics]

  3. Click [View] under the [Course Progress] tab

  4. Choose the course you’d like to review to see your students’ progress


Get Notified When a New Student Signs Up

You can use a workflow to send yourself (or your team) a notification each time a new student enrolls.

  1. From the main Ivorey™ menu, go to [Workflows]

  2. Open the workflow connected to your Offer Checkout or Sales Funnel

  3. Check if the action [Send Internal Notification] is included. If not:

    • Click [+] > [Send Internal Notification]

    • Select whether to send as a platform Notification or via Email

    • Write your message and choose which team member will receive it

  4. Publish your workflow using the toggle in the top right corner

  5. Click [Save]


Re-Send Login Links or Reset a Password

If a student can’t log in, you can quickly send them a Magic Link to get back into their course.

  1. Go to [Site Pages] > hover over the [Client Portal] tab > and click [Dashboard]

  2. Under Actions, click the [Generate] button next to “Generate Magic Link”

  3. Select Contact > then choose the student from the dropdown list

  4. Tick Send Email to email the link directly to them

  5. Click the [Generate & Send] button


Remove a Student’s Course Access

You can manually revoke a student’s access at any time.

  1. From the Ivorey™ main menu, go to [Courses] > hover over [Courses] > select [Analytics]

  2. Click [View] under the [Member Analytics] tab

  3. Click the 👁️ icon for the student you want to remove

  4. Click [Update Offers] at the top right

  5. Go to the [Products] tab

  6. Tick the course you want to remove them from > click [Revoke Access]


Allow Students to Cancel Their Subscription

Students can self-manage billing if permissions are enabled.

  1. From the Ivorey™ menu, go to [Courses] > hover over [Client Portal] > and click [Settings]

  2. Open the [App Permissions] tab

  3. Ensure Billing & Subscription is ticked on


Once enabled, students can log into their Client Portal > Billing area to cancel their own subscriptions.


Cancel a Student's Subscription

You can manually cancel a student's subscription at any time.

  1. Go to [Payments] > [Subscriptions]

  2. Click the 3 dots (⁝) next to their active subscription

  3. Select [⊗ Cancel] > and click the [Yes, Cancel] button


Remove Course Access When a Subscription Is Cancelled

To automatically revoke course access when a subscription ends, set up a workflow.

  1. Go to [Workflows] > click [+ Create New Workflow] > and click [+ Start From Scratch]

  2. Name your workflow (e.g. “Subscription Canceled – [Course Name]”).

  3. Set the trigger to [Subscription]

  4. Add filters:

    • Global Product > select your subscription

    • Status > is > Canceled

  5. Add the action [Course Revoke Offer] > select the course

  6. Publish and Save


Frequently Asked Questions

Can I assign a student to multiple courses at once?

To assign access to multiple courses, you can edit your offer under Courses > Offers to include any additional courses you also want them able to access. This will apply for anyone who has been granted access to this offer.

Alternatively, you can create an additional offer for the extra course, then go into the contacts profile > scroll to the offer section > and manually give them access to that additional course.

Can students pause their subscription instead of cancelling?

Not natively, but you could create a form that alerts you to manually pause their subscription in Stripe instead.

Can the automatic revoke access email that is sent when a contact is removed from a course be customised / turned off?

Unfortunately at the moment, there is no built-in way to turn off or customise the automatic "Revoke Access" email that gets sent when a member loses access to a course.
