Manually Grant Course or Community Access

If you have followed along on our Course or Community guides, you will be shown how to automate access for everyone who signs up to your course or community. However, in some circumstances you may have existing contacts that you want to grant access, especially if you're migrating platforms.

The guide below shows you two ways you can manually achieve this, either with an individual contact or a group of contacts.



Pre-Requisites:


Option 1: Grant One Person Access To Your Course or Community

  1. From the Ivorey™ main menu, go to [Contacts] and search for the contact you'd like to manually grant course or community access to

  2. Click on the [Actions] tab, and navigate to the [Client Portal] section

  3. Under 'Course Offers', select the course offer you wish to grant access to

  4. Under 'Community Offers', select the community group you wish to grant access to


Option 2: Grant Course or Community Access To a Group of Contacts

If you have a large group of contacts you need to grant access to a course or community, you can set up a temporary workflow to do this in bulk.

  1. From the main menu, go to [Workflows] > click the [+ Create Workflow] button at the top right of your screen > and click [+ Start From Scratch]

  2. At the top of the page, name your workflow appropriately (e.g. Grant access to X course)

  3. Do not set any trigger, as we will manually import the contacts

  4. a. If you want to grant access to a community, set the first action step to [Grant Group Access] > and ensure to select your specific community group under 'Groups'. If you want to grant access to multiple communities, repeat the process to add each one as its own step in the workflow

    b. If you want to grant access to a course, set the first action step to [Course Grant Offer] > and ensure to select your specific course under 'Offer'. If you want to grant access to multiple courses, repeat the process to add each one as its own step in the workflow

    c. If you want to grant access to both a community and a course, you can follow the above instructions to add both as their own steps in the same workflow. Take care to ensure you've selected the correct action steps and relevant community group/course

  5. Toggle the workflow to [Publish] at the top right of your screen > and press the [Save] button

  6. Go to your contact list, click the [More Filters] button at the top right of your screen, or search for those you want to grant the access to. For example, contacts with a certain tag or who meet a certain criteria

  7. Select the checkbox next to 'Name' at the top of the list > and click [Select all records]

  8. In the top toolbar of the contacts area, select the [> Add To Automation] button > name the action (e.g. add to X course) > under 'Workflow' select the new workflow you just created > under 'Mode' select the timing you prefer > and click the [Add To Automation] button

The contacts will all get pushed through the workflow and be granted access to the course and/or community.
