If your community is included as part of a larger offer, such as a coaching package, a membership, or a bundle of courses, you may want new members to get access automatically the moment they purchase, rather than having to add them manually each time.
This guide is perfect if you want to:
Automatically grant access to a community when someone purchases a product or offer
Include community access as part of a larger bundle, coaching package, or membership
Grant community access based on any other trigger, such as a form submission or tag being added
.Rather than manually adding each new member, you can use the Grant Group Access action inside any workflow, so new members are added to your community straight away without any extra steps on your end.
From the main Ivorey
menu, go to Workflows > open an existing workflow, or click the [+ Create Workflow] button, in the top right corner > and select [+ Start from Scratch]
Note: If you already have a post-purchase workflow set up for your product or offer, you can simply add to that existing workflow rather than creating a new one.
At the top of the page, give your workflow a relevant Name > click to [+ Add a Trigger] > search for and select your preferred trigger based on when access should be granted:
Order Submitted - ideal if community access is included with a product or offer purchased via a checkout, funnel, or payment link
Payment Received - ideal if community access is included with a product or offer sold via an invoice
Tag Added - useful if you want to grant access based on a contact being tagged (e.g. when manually approving someone)
Form Submitted - useful if access is granted after someone completes an intake or application form
Note: Add any relevant filters to ensure the workflow only fires for the correct product, offer, or tag - for example, filtering by a specific product if you have multiple offers.
Click the [+] button to add an action > search for and select the [Grant Group Access] action > from the drop-down, select the community you want to grant access to > and click [Save Action]
Note: You can use the [Grant Private Channel Access] action instead, if you would like to add them to both the general community and a specific private channel.
You can add multiple Grant Group Access actions if the purchase includes access to more than one community
Click the [+] button to add an action > search for and select the [Add Contact Tag] action > add a relevant tag (e.g. Access: Community Name) > and click [Save Action]
Note: This is recommended to help you track and filter members who have been granted access.
Toggle the workflow to [Publish], at the top right corner > and click the [Save] button
Test your workflow by completing the trigger (e.g. placing a test order) > confirm that your test contact was successfully granted access > and check the [Execution Logs] tab, inside your workflow, for any errors
Yes, when community access is granted, Ivorey
will automatically send the new member a login email so they can access their community. You can customise this email under your community notification settings. Refer to our Community Notifications and Automated Login Emails guide for more detail.
Yes, simply add multiple Grant Group Access actions, and select each community group you want to grant access to.
You can add a Grant Offer Access action to the same workflow to grant course access alongside community access, all in one automated flow.
Yes, use the Revoke Group Access action in a workflow if you need to remove access automatically, for example when a subscription is cancelled.
