This guide is perfect if you want to:
Replace system default templates with branded emails
Automatically send login details, event notifications, and membership updates
We have created email templates for you that are available inside the Template Library. They are pre-filled with custom values that will automatically pull in customised data to send, such as your client portal URL and your contact’s login details.
From the main Ivorey
menu, go to [Marketing] then > [Emails] then > [Templates]
You'll see email templates we have already pre-loaded into your account under the [Community Emails] folder. Or you can find them by clicking [+ New] > [From Template]
To edit the email templates, click on each email to open the email builder, and customise to your branding by adding your own unique colours and images. Be sure to keep the custom values we have added as these will automatically pull in your members name, email, login URL etc.
Note: If you want to send a more personalised welcome email to your community members when they join, you can set this up inside of Workflows. Please refer to our Get Signups to Your Community guide for the detailed steps.
Add your Client Portal URL to your 'Login Here' buttons inside your community email templates, so that your members are directed to your Client Portal to login and access their community
To find your Client Portal URL, from the main Ivorey
menu, go to [Courses] > [Client Portal] > [Dashboard] > click the copy icon under 'Client Portal URL'. Then go back to your community email templates, click on the login button, and paste your Client Portal URL into the Link Url tab on the left hand settings
Hit [Save]
Now that you've customised your email templates, you need to connect them to your community emails to ensure they will be sent. If you don't connect your templates to your community emails, your clients will receive a default email - so it's important that you don't miss this step.
From the main Ivorey
menu, go to [Courses] > [Email Settings] > [Communities]
Check the boxes of notification emails you do want your members to receive, and uncheck boxes of the emails you do not want them to receive
Systematically change all of the relevant default templates to the new email templates that you customised
You can manage notifications across chat, email, and app alerts.
Chat Features: Inside your Community, go to [Profile] in the top right corner > [Account Settings] > and toggle chat notifications ON/OFF
Email Notifications: From your dashboard, go to [Courses] > [Client Portal] > [Settings] > [Email Settings] > [Communities] tab > untick notifications you want to turn off > click [Save]
App Notifications: Download the LeadConnector app and manage notifications via your phone’s settings.
If you don’t customise the community emails, the system defaults will send generic emails. While functional, they won’t reflect your branding or tone so we encourage you to customise for an elevated client experience!
Yes, when you create new events in your community, it will automatically send a notification to whoever you chose as eligible for that event. We have an email template you can customise to your brand for Event Notifications to help you create a beautiful, branded experience!
No, you can’t customise emails per community. Community email settings apply across all communities in your account, so keep the text generalised.
Workflows are optional as the community notification emails send login info. But if you want a more personalised welcome, you can add a custom email or a welcome sequence using workflows, to nurture new members or introduce them to the community.
The incorrect group name appears because of the custom value being used in the email template. If the template is currently using {{communities_name}}, it should be updated to {{communities_group.name}} to correctly pull the group name.
Yes, if a community event is canceled more than 24 hours in advance, the reminder emails will not be sent. However, if the cancellation happens within 24 hours of the event, the emails are already scheduled and will be sent. Currently, community emails that are already queued cannot be paused or cancelled, but this feature is coming soon.
If your community emails are sending but dynamic fields (like member name or community name) aren’t showing, it’s usually because the subscription or payment is not set up directly inside the community settings.
Email templates in Ivorey
only populate correctly when the community subscription is managed through Community > Settings > Subscriptions. Using a separate payment link or product won’t trigger these fields. To fix this, set up a paid community subscription in the community settings and share the invitation link with members. After that, all automated emails will populate the fields correctly.
