Tag your contacts and send notifications after a webinar funnel purchase
Step 1: Customise Our Webinar Email Templates
When someone signs up for your webinar, it’s important to guide them every step of the way: starting with a confirmation email that shares the viewing link, followed by timely reminders leading up to the live session (if applicable), and a thoughtful follow-up to thank them for attending. We’ve pre-built all of these email templates for you - beautifully structured and ready in your account for you to customise and make your own.

From the main Ivorey™ menu, go to [Marketing] > [Emails] > [Templates] > and open the [Webinar Email Templates] folder. Inside, you’ll find email templates for On-Demand and Live webinars
Note: If you don’t see our email templates already in your account, let us know in the chat widget and we’ll add them for you!
Duplicate the email templates - click the (⁝) three dots next to the template > select [Clone] > and rename it accordingly
Create your own folder to stay organised - Back in the main Email Templates area, click [Create Folder] to create a new folder for this webinar > move the templates here so they are neatly organised for future reference
Customise the email templates - Open your cloned versions to edit the text and branding. You can also add buttons to deliver a bonus PDF, link to your calendar, or send them anywhere else
If the images inside your email template are missing, you can customise your custom values to automatically update your logo, photo, and signature to apply across ALL of the email templates we've created for you
Hit [Save] once you're done and move onto the next step
Note: we recommend creating unique versions of these emails for each webinar, or webinar funnel you create. To save time, clone the emails you've already customised for your last webinar, and edit the details as needed.
Step 2: Set Up Your Webinar Workflow
You’ll need to tell Ivorey™ what to do when someone registers for your webinar, such as tagging the contact and sending the confirmation, reminder and follow-up emails. We've made templates for on-demand and live webinar workflows, that are already in your account and ready to customise and connect.

From the main Ivorey™ menu, go to [Workflows] > open the [Webinar Workflows] folder. Inside, you’ll find workflow templates for On-Demand and Live webinars
Duplicate the relevant workflow template and create a folder - Click the (⁝) three dots > select [Duplicate workflow] > rename it using your webinar name > click the (⁝) three dots on the duplicate > select [Move to Folder] > click [New Folder] > and create a new folder for this webinar
Open the workflow to customise it > click on the [Form Submitted] trigger, at the top of the workflow > from the drop-down select the Registration Form you customised for your webinar > and click [Save Trigger]
Note: You will need a new form for each webinar. To save time, clone the form you've already customised for your last webinar, and edit the details as needed.
Click on the [Add registration tag] action > remove the default tag provided > type in a new tag for your webinar (e.g. "Opt-in: Your webinar name") > click [+ Add New Tag] to save the tag > and click [Save Action]
For Live Webinars: Click on the [Set Webinar Start Date] action > set the date and time that your webinar will start (in the time zone your Ivorey™ account is set to) > and click [Save Action]
Note: Be sure to double check that the correct year is selected, as the year usually defaults to 2022.
Click on the [Confirmation email] action > if you've already customised our email template in the last step:
Scroll down to the Email section > click the (⁝) three dots > and select [Remove]
Select [Select an Existing Template] > and choose your customised confirmation email template
Now you can add in the From Name and Email, and adjust the Subject Line and Preview Text as needed
Send yourself a test email, if you want to check this now, however we will be testing the entire funnel in upcoming steps
When you're done, click [Save Action]
(optional) For Live Webinars: Our workflow template is set up to send reminder emails 24 hours, 1 hour, and 10 minutes before the live webinar:
You can remove or add as many reminders as you want
To adjust any of the wait times: Click on the [Wait] action > adjust the wait time to your preference > and click [Save Action]
Like you did for the Confirmation Email: Click on the [Reminder email] actions > select your customised reminder email templates > adjust the settings as needed > and click [Save Action]
For Live Webinars: The final steps in your workflow are to wait until 2 hours after your webinar starts, before sending the post-webinar follow-up email:
(optional) Click on the [Wait Until 2hrs After] action > adjust the wait time to your preference > and click [Save Action]
Note: This wait time is based on when your webinar starts, not when it ends. Keep in mind how long your webinar will be. For example, if your webinar is 1 hour long, this wait time should be at least 1 hr 15 mins. You don't want this email to go out before your webinar actually ends.
Like you did for the previous emails: Click on the [Post Webinar email] action > select your customised follow-up email template > adjust the settings as needed > and click [Save Action]
For On-Demand Webinars: The final steps in your workflow are to wait 3 days, before sending a follow-up email:
(optional) Click on the [Wait 3 Days] action > adjust the wait time to your preference > and click [Save Action]
Like you did for the Confirmation Email: Click on the [Follow Up Email] action > select your customised follow-up email template > adjust the settings as needed > and click [Save Action]
Toggle the workflow to [Publish], in the top right corner > and click the [Save] button
It's important to set up a unique workflow for each webinar funnel you create. So when you're ready for your next webinar, follow the steps above again to customise the workflow template for that specific webinar (with a new registration form and customised emails)
Note: it's very important to test your workflows, before publishing your funnel. In the upcoming steps, you will do a test-run of your entire funnel to ensure everything is working before going live.
Step 3: Set Up Your Post-Purchase Emails and Workflow
If you've included the sales pages at the end of your webinar funnel, it's important to set up a post-purchase workflow and emails, to correctly tag and notify the contacts who make a purchase.
Please follow the steps in our Post-Purchase Workflows For Sales Funnels guide to set these up. Be sure to save the customised emails and workflow to the relevant webinar folders you created during the previous steps, to keep everything organised and in one place.
If you decided to remove those pages, you can skip this step.
