Calendar availability in Ivorey™ is managed across multiple layers. Each layer plays a role in making sure your booking links stay open, while also protecting your personal time and avoiding conflicts. Understanding how these layers work together will help you design schedules that are flexible, accurate, and stress-free.
Sometimes it can feel frustrating to have to set availability in multiple places, but understanding the reason why makes all the difference! By having granular availability settings, Ivorey™ calendars gives you control and flexibility to:
Keep your services available to clients without overcommitting.
Protect your own working hours and days off.
Prevent clashes between business and personal schedules.
Allow appointment slots amongst shared teams to stay open every day, while respecting each member’s availability.
How Ivorey™ Calendars Check and Manage Availability:
When someone goes to book an appointment through an Ivorey™ calendar, our system gets to work on checking these three things:
1. First Check - Profile Availability
This is your master schedule which each team member manages individually under Settings > Profile > Availability. It represents the hours you personally work, e.g. M-F 9am-5pm. If you set yourself as unavailable on weekends in your profile, no calendar will ever book you on a weekend. This ensures your personal boundaries are always respected, no matter how many calendars or services you’re connected to.
2. Second Check - Individual Calendar Settings
Each calendar has its own availability rules which are managed directly inside the individual calendar settings. This is where you decide when a specific service can be booked - for example, sales calls only on Mondays, or client sessions only offered on Thursdays.
3. Third Check - External Conflict Calendars
You can also connect external conflict calendars (like Google Calendar, Outlook, or iCal). When connected, Ivorey™ cross-checks for personal appointments or events already in your external calendar. If you’ve blocked time there - whether it’s a meeting, lunch break, or family event - Ivorey™ will automatically note that slot as busy, and prevent you from getting double-booked with an external event.
