  • Stay on top of due dates, overdue tasks, and upcoming priorities

  • Set up recurring tasks and automate task creation using workflows


How to Create and Manage Tasks

The task feature inside of Ivorey™ provides a comprehensive view of all tasks associated with your account. Tasks can be created either through automated workflows or manually by account users. It is a great place to create your own internal to-do lists, manage team tasks, and stay on top of any actions or follow ups required when working with clients.

Note: There are multiple ways to create a task inside of Ivorey™, however no matter how your task is created, the main task area will be your main reference point when managing your tasks.

  1. To create a task inside the main task area, from the Ivorey™ main menu, go to [Contacts] > then along the top menu bar click [Tasks]

  2. Click the [+ Add Task] button at the top right of your screen > and fill in the fields that are relevant to the task you are creating

    1. Title (required): here you give your task a title

    2. Descriptions (optional): this is where you can add any notes, or communication for your task

    3. Due Date & Time (required): here you will need to set the date and time your task will be due

    4. Recurring Task (optional): toggle this on if you have a task that you do regularly and adjust the settings to how often you want this task to recur for

    5. Contact (optional): here you can assign this task to a contact - e.g. you may have just finished a call and have an onboarding package to send

    6. Assign To (optional): here is where you can assign the task to yourself or the team member that will be required to complete this task

  3. Once you have updated the relevant fields for your task, click [Save] and the bottom right of the screen to add the task to your list, or [Save and Add Another] if you need to create more tasks

  4. Once you have created your task, it will display in the main list view where you can:

    1. Select the ☑️ tick icon to mark a task complete

    2. Click the 🗑️ bin icon to delete a task

    3. Click the ✎ pencil icon to edit a task

    4. Adjust your view based on the filters you set along the top of your page

Click here for the written steps to create a task inside a contact profile:

  1. To create a task inside a contact profile, from the Ivorey™ main menu, go to [Contacts] > then click into the contact you want to connect a task to

  2. Click the ☑️ 'Tasks' icon at the top menu bar on the right hand side of your screen

  3. Then click the [Add] button > and fill in the fields that are relevant to the task you are creating

    1. Title (required): here you can give your task a title

    2. Descriptions (optional): this is where you can add any notes, or communication for your task

    3. Due Date & Time (required): here you will need to set the date and time your task will be due

    4. Recurring Task (optional): toggle this on if you have a task that you do regularly and adjust the settings to how often you want this task to recur for

    5. Assign To (optional): here is where you can assign the task to yourself or the team member that will be required to complete this task

  4. Once you have updated the relevant fields for your task, click [Save] to add this task to the contacts profile

  5. You can edit or delete your task as needed within the contact profile, and this task will also show in your main task list inside [Contacts] > [Tasks]

Click here for the written steps to create a task inside a workflow:

  1. To create a task inside a workflow, from the Ivorey™ main menu, go to [Workflows]

    1. If you would like to use a workflow template we have created for you, click into the [Bonus Workflows] folder and click the 3 dots of the workflow you want to use > and select 'Duplicate Workflow' to create a new copy you can start editing

    2. If you want to create a brand new workflow, click the [+ Create Workflow] button at the top right of your screen > and select [Start from Scratch]

  2. Build out your workflow as required, and wherever you need to have a task created search the [Add Task] action > and fill in the fields that are relevant to the task you are creating

    1. Action Name (required): here you can change the name of your action or leave as the default 'add task'

    2. Title (required): here you will need to give your task a title

    3. Descriptions (required): this is where you can add any notes, or communication for your task

    4. Assign To (required): here you will need to assign the task to yourself or the team member that will be required to complete this task

    5. Due Date & Time (required): here you will need to set the date and time your task will be due

  3. Once you have updated the relevant fields for your task, click [Save Action] > then make sure you hit the main [Save] button for your workflow to update your changes

  4. Once you have published your workflow, it will mean that any time this workflow is triggered, a task will be created according to the details you sent inside the workflow. You will be able to view the tasks created from the workflow inside [Contacts] > [Tasks]


    Note: When you are creating a task inside a workflow, you can add custom values to the title and description by clicking the 🏷️ icon on the right hand side of each field. For example if you are creating a workflow for when someone submits your contact form on your website, in the description you could use the custom value "{{contact.first_name}}" has submitted your contact form - please review and reply so that you know the contact that has submitted your form without having to go look for it.
