# AI Studio Cloud

Learn how to add a database, user logins, and file storage to your AI Studio projects and access our step-by-step instructions, FAQs, and everything you need to know!

## Before You Dive In

You've built something amazing in AI Studio, and now it needs to remember things, like who has signed in, the information people enter, and the photos and files they upload. AI Studio Cloud gives your project its own private backend, with a database, user accounts, and file storage, so there's no separate platform to set up or connect.

**Use case examples**

- An app that saves each person's profile, progress, or orders, so their information is there when they sign back in

- A members-only resource library, where signed-in users can view and download your files

- A private client gallery (e.g. for photographers), where each client signs in to view and download their own photos

- A tool where signed-in users can upload photos or documents, stored securely in your project

- An internal team tool, such as a tracker or dashboard, that saves your team's entries

**When to use AI Studio Cloud or the Client Portal**

Both give people a secure login, but they're built for different needs. People who sign up through Cloud are stored in your AI Studio project only, so their accounts and logins don't sync to your Ivorey™ CRM or Client Portal, and sign-in is currently available with email and password only.

We recommend AI Studio Cloud if you want:

- An easy login for people to access a custom app, tool, or resource you've built in AI Studio

- Signed-in users to save their own information inside your app (e.g. profiles, progress, or orders)

- A private place for signed-in users to view, upload, or download files (e.g. a resource library or client photo gallery)

- To manage your app's users separately from your CRM contacts

We recommend the Client Portal if you want:

- Your clients' logins connected to their contact records in your Ivorey™ CRM

- Clients to access your courses, communities, or other portal content, including through the Kollab™ app

- One login that works across all of your Client Portal content

Please refer to our [Client Portal](https://help.ivorey.io/en/articles/11430362-all-about-client-portals-a-master-help-guide.md) guides for all the details.

This guide is perfect if you want to:

- Give your AI Studio app a place to save information

- Let people create an account and sign in to your app

- Store the photos and files people upload through your app

- Grow your app's capacity while keeping your costs in check

> **Warning:** AI Studio Cloud includes a free Tiny database size, 2 GB of database storage, and 1 GB of file storage for every project. If you move to a larger database size or go over the free storage, hourly hosting fees apply.
>
> Building with prompts and any Cloud actions that send a message to the AI Studio chat (e.g. Optimize or Try to fix), use AI Studio usage as usual. Please refer to our [Billing and Inclusions](https://help.ivorey.io/en/articles/11439205-billing-and-inclusions.md) guide for the full pricing breakdown.

## Set Up and Manage AI Studio Cloud

Cloud is managed inside the AI Studio builder, where you can view what your app has stored, control who can access it, and adjust its resources as your app grows. You can also ask AI Studio in chat to create database tables or access rules for you, and it will always check with you before it builds anything that uses Cloud.

> **Warning:** **Prerequisite:** Cloud works with projects built on the new web app framework. If you're enabling Cloud on an older AI Studio project, you'll need to migrate it to SSR first. Please refer to our [AI Studio Server](https://help.ivorey.io/en/articles/13631444-ai-studio-server.md) guide for all the details about the server and the steps to migrate your project.

### Step 1: Enable Cloud for Your Project

Turning on Cloud creates a private backend for your project, which usually takes about a minute. Once it's connected, the Cloud Overview gives you one place to check on your project's backend and open each area.

**Click here for the written steps**

1. From the main Ivorey™ menu, go to **AI Studio** > open an existing project, or create a new project by describing what you want to build in the prompt box

2. Once your project is ready, click the 📦 **More** button at the top of the page > click **\[Cloud\]** > and on the **Overview** page, click **\[Enable Cloud\]**

3. Wait for Cloud to finish setting up - you can keep working on your project while it runs

**Note:** If setup fails, your existing app stays exactly as it is. Click **\[Try again\]** to pick up where it left off.

4. Once connected, the **Cloud Overview** dashboard displays your:

    1. **Connection Status** - whether your Cloud is connected

    2. **Database** - your existing tables and how many records each one holds

    3. **Users** - how many people have registered, and your sign-in settings

    4. **Storage** \- the storage buckets your app uses

    5. **Secrets** \- your project's private keys and tokens (please refer to our [AI Studio Server](https://help.ivorey.io/en/articles/13631444-ai-studio-server.md) guide for how to add and use Secrets)

5. Click on any section to open its full management page

6. If the security advisor finds a problem, a card will appear on the **Overview** page > click **\[View issues\]** to see the list > and click **\[Try to fix\]** to have AI Studio repair them

**Note:** Fix any issues marked as critical before you publish. Warnings are worth reviewing, but aren't urgent.

7. When you're ready for your live project to use Cloud, click **\[Publish\]** in the top right corner of the screen to publish your updated project

**Note:** Enabling Cloud doesn't change your published project. Your live project stays as it is until you publish again.

### Step 2: Manage Your Database

Your database stores the information your app saves, such as user profiles, orders, and other records. Access rules, called row-level security (RLS) policies, control which records each person can view or change.

**Click here for the written steps**

1. From the main Ivorey™ menu, go to **AI Studio** > and open your project

2. Click the 📦 **More** button at the top of the page > click **\[Cloud\]** > and click **\[Database\]** to view your project's tables, roughly how many rows each one holds, and whether RLS policies are in place

3. Click on a table to open it > from here, you can:

    1. Click **\[Add row\]** > fill in the fields (leave any field marked "Leave blank to use the default" empty) > and click **\[Create row\]**

    2. Double-click a cell to edit its value

    3. Click **\[Filter\]** to filter the records shown, or **\[Columns\]** to choose which columns display

    4. Click **\[Export CSV\]** to download a copy of the table's records

    5. Click **\[Refresh\]** to load the latest records

4. To create a new table or change an existing one, describe what you need in the AI Studio chat panel (e.g. "Create a table to store orders, with the customer's name, email, and order status") - changes to your table structure are made through the chat, rather than directly in the database

5. Click **\[Optimize\]** to send a database health check to the AI Studio chat, which helps identify ways to improve performance

**Note:** Optimising your database uses AI Studio usage, like any other chat message.

6. Click **\[RLS policies\]** to review the access rules on each table, including the policy name, command, user role, and rule expression > to change a rule, describe the access you want in the chat (e.g. "Only allow signed-in users to view and update their own orders")

7. Click **\[Backups\]** to view the daily snapshots Cloud creates automatically > select the snapshot you need > and click **\[Restore\]** to return your database to that earlier state
**Note:** Restoring a backup replaces your current live database with the selected snapshot, and database access pauses for a few minutes while it restores. Backups don't include uploaded files or your project code. If the restored database no longer matches your app, ask AI Studio in the chat to update the code.

### Step 3: Manage App Users and Sign-In Settings

Control who can sign up and sign in to your app, manage individual accounts, and set the password and security rules that keep your users' accounts safe.

**Click here for the written steps**

1. From the main Ivorey™ menu, go to **AI Studio** > open an existing project

2. Inside your project, click the **📦** **More** button at the top of the page > click **\[Cloud\]** \> and click **\[Users\]** to:

    1. View signup activity on the **Signups** chart > and use the date range drop-down (e.g. **Last 7 days**) to choose a time period

    2. Search for a registered user by email, and see each user's login method and when they last signed in

    3. Click **\[Add user\]** > and select **\[Send invitation\]** to email someone a link to set their own password, or **\[Create new user\]** to create an account that is already confirmed, without sending an email

**Note:** Sign-up confirmation, invitation, and password reset emails are sent through your Ivorey™ account email settings, and the links in these emails take people back to your app.

    4. Click on a user to open their details > on the **Overview** tab, view when they signed up, confirmed their email, and last signed in, along with their **Login** methods > under **Actions**, click **\[Delete user\]** to permanently remove their account, so they no longer have access to your app (this can't be undone)

3. Click **\[Auth settings\]**, at the top right of the **Users** page, to control how people sign in and register:

    1. Under **Sign-in methods**, **Email** (password sign-in and one-time codes) shows as **Enabled** \- this is currently the only sign-in method available

    2. Under **Who can sign in**, toggle OFF **Allow new sign-ups** to close registration at any time, while keeping your existing users signed in

    3. Toggle ON **Anonymous users** to allow anonymous users to sign in (this is OFF by default)

4. Under **Sign-in methods**, click **Email** to set your password and email security rules:

    1. Under **Passwords**, set your:

        1. **Minimum password length** \- the minimum is 6 characters, and we recommend 8 or more

        2. **Required password characters** \- use the drop-down to choose which types of characters passwords must include (e.g. lowercase, uppercase, and numbers)

        3. **Check against known breaches** - toggle ON to reject passwords that have appeared in public data breaches (this is ON by default)

        4. **Re-authenticate to change password** - toggle ON to ask for the current password before a new one can be set

    2. Under **Email**, set your:

        1. **Auto-confirm email** - skips the confirmation email, and should be used for testing only

        2. **Secure email change** - toggle ON to require confirmation at both the old and new email addresses (this is ON by default)

    3. Expand the **Advanced** dropdown to set the expiry time and length of one-time codes

**Note:** Email confirmation is required by default. Keep **Auto-confirm email** turned OFF once your app is live.

5. Back on the main **Auth settings** page, expand **Advanced** to set where people are sent when they sign in, register, or reset their password:

    1. **Site URL** \- where auth emails send people when a link doesn't include its own redirect (e.g. your app's custom domain)

    2. **Redirect URLs** \- where people are allowed to be sent after signing in > type a URL into the field > and click **\[Add URL\]** to add it to your **Allowed URLs** list, including mobile app links such as myapp://callback

**Note:** AI Studio manages your preview URLs for you. Make sure these URLs match your app's live URLs (e.g. once you connect a custom domain), as a mismatch is the most common reason a login fails.

6. Click **\[Save changes\]** in the bottom right

* * *

### Step 4: Store and Manage Files

Storage holds the files your app uses or that people upload, such as images and documents. Files are organised into buckets, and each bucket's visibility and access rules control who can open them.

**Click here for the written steps**

1. From the main Ivorey™ menu, go to **AI Studio** > open an existing project

2. Inside your project, click the **📦** **More** button at the top of the page > select **\[Cloud\]** > **\[Storage\]** \> click **\[New bucket\]** > and enter a bucket name between 3 and 63 characters, using lowercase letters, numbers, and hyphens only

**Note:** Bucket names can't be changed after the bucket is created.

3. Choose your bucket's visibility > toggle **Make bucket public** ON or OFF > click **\[Create bucket\]**

    1. **Public** - anyone with the file link can open the files

    2. **Private** - files are restricted to signed-in users, based on your access rules

4. Open a bucket to upload files, create folders to organise them, download, rename or delete files, and copy a file's URL to use in your app

**Note:** Renaming a file changes its URL, so make sure you update anywhere you've used the previous URL.

5. On the **Storage** page, use **Upload size limit** to set the largest file a bucket can accept (the default is 2 GB, up to a maximum of 5 GB) > and click **\[Save\]**

6. Click **\[RLS policies\]** to review the rules that control who can view and upload files

### Step 5: Manage Cloud Resources and Costs

As your app grows, you can increase its computing power and database storage, pause Cloud when it's not in use, or remove it entirely. Some of these changes affect your hosting fees, so review the pricing shown before you make a change.

**What's the difference between database size and storage?**

- **Database size** - the computing power that runs your project's backend, including its processor and memory (this is called an "instance" in our Billing and Inclusions guide). Moving to a larger size gives your app more processing power and memory, but doesn't add any storage space

- **Database storage** - the space for the information your app saves, such as your tables and records. You're charged for the amount of space you've reserved, whether or not it's full

- **File storage** - the space for the files in your storage buckets, such as images and PDFs. This grows and shrinks with your files, and you're charged only for what's actually stored

Your free storage allowances apply on every database size, so moving to a larger size doesn't replace them.

**Click here for the written steps**

1. From the main Ivorey™ menu, go to **AI Studio** > open an existing project

2. Click the 📦 **More** button at the top of the page > click **\[Cloud\]** > **\[Overview\]** > and click **\[Advanced settings\]**

3. Click **\[Manage\]** next to **Database size** to view the available sizes and their hourly pricing > Cloud starts on the free **Tiny** size, and you can move up to **Mini**, **Small**, **Medium**, **Large**, or **X-Large** or back down, as needed

**Note:** Database size can be changed once per hour. Each change takes a few minutes and briefly restarts your app.

4. Click **\[Manage\]** next to **Database storage** to increase the space allocated to your database

**Note:** Database storage can be increased up to four times a day, but can't be decreased. Check your current usage here first, and only increase it when your data is getting close to the limit.

5. Under **Pause Cloud**, click **\[Pause\]** to stop access to your Cloud while keeping all of your data safe > to turn it back on, click the 📦 **More** button > click **\[Cloud\]** > and click **\[Wake up\]**

**Note:** While Cloud is paused, any features in your app that depend on Cloud stop working. If your wallet can't cover your Cloud charges, Cloud pauses automatically after 48 hours, without deleting your data, and wakes up once your wallet has been topped up (this may take some time). You can also click **\[Wake up\]** yourself. Please refer to our [Billing and Inclusions](https://help.ivorey.io/en/articles/11439205-billing-and-inclusions.md) guide for how pausing affects your charges.

6. Under **Remove Cloud**, click **\[Remove\]** to permanently delete Cloud from this project

**Note:** Removing Cloud permanently deletes this project's database, users, and stored files. Export your database tables using **\[Export CSV\]** in each table, and download any files you need, before removing it. Your other AI Studio projects are not affected.

## Frequently Asked Questions

**What happens to my Cloud data if I clone a project?**

When you clone a project, the copy is disconnected from the original project's Cloud and doesn't send any requests to it. If you enable Cloud on the copy, a new Cloud is created with the same table structure, but without any of the records, users, or files from the original project. Toggling ON **Include project history** when you clone keeps your chat and version history, but doesn't copy your Cloud data.

**Are AI Studio form submissions stored in Cloud?**

No. Submissions from AI Studio forms connected to your CRM are sent to your Ivorey™ account, so they don't take up any of your Cloud storage. You can view them inside your project by clicking the 📦 **More** button > **\[Analytics\]** > **\[Form Submissions\]**.
You can also find them under **Site Pages** > **\[Forms\]** > **\[Submissions\]** \> **\[External Forms\]**.
