Email Platform Migration

Before You Dive In

This guide provides a clear, step-by-step process for migrating your email marketing platform to Ivorey™. It is designed to remove guesswork and ensure your migration is completed in the correct order, so your email system works properly from day one.

This guide is perfect if you want to:

  • Migrate from Flodesk, Kit, Mailchimp, or ActiveCampaign to Ivorey™

  • Recreate your segments correctly as SmartLists so emails continue sending to the right contacts

  • Transfer your email templates and sequences efficiently without rebuilding or reformatting

  • Cancel your previous email platform once your email system is fully set up in Ivorey™


Step 1: Clean Up Your Existing Email Platform

Before migrating or exporting anything, please clean up your current email platform so you bring across only what you actively use.

Log into your existing platform (Flodesk, Kit, ActiveCampaign, etc.) and:

  1. Remove old or unused contacts

  2. Remove obsolete tags

  3. Remove any segments or audiences you no longer need

  4. Confirm which contacts and tags should be migrated to Ivorey™

✅ Done means:

  • Only your active contacts remain

  • Your tags are relevant and up to date

  • Your unused segments or audiences have been removed

Once the above is done, go ahead and progress to Step 2.


Step 2: Export and Import Your Contacts (Including Tags)

Now it's time to export your contacts from your existing platform, ensuring that your tags are included. Visit our Import Contacts and Tags Guide for step-by-step instructions to do this.

Once done, confirm that all your contacts have imported successfully and that the tags appear correctly on contact records.

✅ Done means:

  • All contacts are visible in Ivorey™

  • Tags are attached to the correct contacts

  • Contact count matches your export

Once the above is done, go ahead and progress to Step 3.


Step 3: Identify and Rebuild Your Segments as SmartLists

Other email platforms use terms like segments, audiences, or lists. In Ivorey™, these are called Smart Lists. They perform the same function but must be rebuilt inside Ivorey™. Visit our Contact Tags and Smart Lists Guide for step-by-step instructions to do this.

Important: This step must be completed before emails or workflows are connected.

✅ Done means:

  • Every important segment has a matching SmartList

  • Smart List rules match your previous platform

  • No emails or workflows are connected yet

Once the above is done, go ahead and progress to Step 4.


Step 4: Submit Your Branding and Create Your Email Template

Next, it's time to set up your email templates:

  1. Default emails
    Before you begin work on your newsletter email templates, it's time to take care of your default emails - and the best part? We'll take care of them for you! Simply submit this form and we'll update them in your account, so that all of the 80+ email templates we provide are rebranded with your unique logo, headshot and signature.

  2. Newsletter templates
    Next, it's time to work on your newsletter templates. We’ve made it simple to get started. You can either create your own email template, or choose one of our ready-made newsletter templates (designed to match each Premium Collection). Visit our Create and Send Newsletters Guide for step-by-step instructions to do this.

    Important: Only complete Step 1 and 2 in our Create and Send Newsletters Guide. ‼️Follow the steps below before you begin sending newsletters.

✅ Done means:

  • Branding is applied correctly

  • A complete email template exists

  • The template is ready to be duplicated​

Once the above is done, go ahead and progress to Step 5.


Step 5: Create Campaign Folders for Each Email Sequence

Now it's time to prepare the campaign folders for each of the email sequences that you currently have set up in your email marketing platform:

  1. From the main Ivorey™ menu, navigate to Marketing > Emails > click [Create Folder] > and create one folder for each email sequence that you currently have (for example: newsletters, welcome emails, or launch sequences)

  2. Inside each folder, duplicate your base email template for every email in that sequence. Do not add content yet

✅ Done means:

  • Each sequence has its own folder

  • Each folder contains the correct number of email templates

  • No email content has been copied yet

Once the above is done, go ahead and progress to Step 6.


Step 6: Copy Your Email Content Across

Open your old email platform and Ivorey™ side by side. Copy the text from each existing email and paste it into the corresponding email in Ivorey™. Update your buttons and links as needed and ensure that you're happy with your email design.

✅ Done means:

  • All email text has been copied across

  • Links and buttons work correctly

  • Emails match the original content

Once the above is done, go ahead and progress to Step 7.


(Optional) Step 7: Review and Save Your Analytics

Analytics do not transfer to Ivorey™. If you want to keep historical performance data from your current platform, access the analytics section of your previous email platform and export or screenshot any information you may want for reference in the future.

✅ Done means:

  • Any required analytics are saved

  • You’re ready to proceed without losing data

Once the above is done, go ahead and progress to Step 8.


Step 8: Set Up Your Email Sending Domain

If you haven't already, you now need to set up your email sending domain so that your emails to ensure that your emails come from your email domain, and to improve your email deliverability. Visit our Set Up Email Services Guide for step-by-step instructions to do this.

✅ Done means:

  • Your email sending domain is set up

  • You have set up your 'From' name and email address

  • Your Ivorey™ emails are synced with Gmail or Outlook for seamless two-way communication

Once the above is done, go ahead and progress to Step 9.


Step 9: Connect Your Email Campaigns to Workflows

Now you can attach your email campaigns to the appropriate workflows inside Ivorey™. Confirm that triggers are set correctly and that emails are linked to the correct Smart Lists. This step activates your email system.


✅ Done means:

  • Emails are connected to workflows

  • Triggers are firing correctly

  • Smart Lists are applied as intended

Once the above is done, go ahead and progress to Step 10.


Step 10: Cancel Your Previous Email Platform

Once all steps above are complete, your email system is fully operational inside Ivorey™. Log into your previous email platform and cancel your subscription.


✅ Done means:

  • All email activity is running through Ivorey™

  • Your previous platform subscription is cancelled

  • Your migration is complete 🥂
